Job summary

UL Research Institutes and UL Standards & Engagement in Evanston, IL is seeking a Project Coordinator to support planning and execution of complex projects for Real Estate & Facilities and HSE teams. The role focuses on tracking progress, documentation, and enabling achievement of organizational objectives.

You will coordinate timelines, collect data, and assist with cost analyses, while supporting meetings, expenses, and vendor approvals.

Qualifications

  • Organize meetings, events, and training; manage logistics and communication.
  • Assist with basic financial tasks including expense reports and invoices.
  • Maintain SharePoint and document library; keep documents current and formatted.
  • Provide logistical and administrative support for facilities and HSE projects.

We have an exciting opportunity for a Project Coordinator at UL Research Institutes and UL Standards & Engagement, based in our Evanston, IL office.

The Project Coordinator will be responsible for supporting the planning and execution of complex and high-level projects for the Real Estate & Facilities and Health, Safety & Environment (HSE) teams. This role is responsible for tracking project process, maintaining documentation, and assisting with meeting organizational objectives.

What you'll learn and achieve:

As the Project Coordinator, you will play a key role in the rapid growth of UL as you:

  • Coordinate project timelines, milestones, and deliverables for Real Estate & Facilities and HSE.
  • Support the development of project or program goals and strategies for small to medium-size projects.
  • Collect data from a variety of sources, evaluates and interprets data, and draws conclusions. Conduct cost/benefit analyses.
  • Coordinate document processing for legal, leadership, and vendor approvals.
  • Help prepare and may present reports or program proposals which include recommendations and supporting arguments.
  • Organize meetings, events, and training sessions, managing logistics and communication.
  • Assist with basic financial tasks, including managing expense reports and invoices.
  • Maintain the team's SharePoint and document library, helping keep documents current and consistently formatted.
  • Provide logistical and administrative support for facilities and HSE projects and events.
  • Perform other duties as assigned.

  • Minimum 2 years of experience in project coordination or administrative support.
  • Experience in HSE, real estate, or facilities management preferred but not required.
