TRC’s client is a well-established architecture, engineering, construction, and consulting firm that specializes in designing and building facilities for pharmaceutical industries. is seeking a detail-oriented and organized Project Coordinator to support its procurement and project management teams. This role will provide administrative, document control, project reporting, and procurement coordination support throughout the project lifecycle.
About the Role
The Project Coordinator will work closely with project managers, procurement teams, suppliers, subcontractors, and other internal and external stakeholders to maintain accurate project information, track documentation and financial data, and ensure key project activities remain organized and on schedule.
Responsibilities
- Manage the technical document submittal process throughout the lifecycle of a large capital projects, including tracking submissions, reviews, approvals, revisions, and outstanding items.
- Maintain accurate document control systems, ensuring technical documents are properly organized, labeled, stored, and easily accessible to project stakeholders.
- Maintain strict version and revision control, ensuring project teams are working from the most current approved documentation.
- Track technical documentation and submittal status, follow up on outstanding items, and help ensure documentation moves through the review and approval process on schedule.
- Coordinate documentation between Project Managers, engineers, procurement teams, suppliers, subcontractors, and other project stakeholders.
- Maintain electronic project files and support the organization and completion of electronic turnover packages.
- Maintain procurement logs, document trackers, contract files, project records, and other project documentation.
- Support project reporting by providing accurate updates on document status, outstanding items, deadlines, and project deliverables.
Qualifications
- Bachelor’s degree in Engineering, Business Administration, Project Management, Construction Management or equivalent relevant experience is preferred.
- Up to three years of experience supporting capital projects, construction administration, project controls, procurement, or document control in a construction, engineering, design services, life sciences, or other regulated industry environment.
- Experience with project administration systems, electronic RFP tools, purchase order management, document control platforms, and reporting tools is preferred; D365, Building Connected, or similar systems experience is a plus.
- Preferred experience supporting capital projects in life sciences, food and beverage, advanced manufacturing, or other highly regulated industries.
Required Skills
- Strong organizational skills with the ability to prioritize competing deadlines, track action items, and maintain accurate project information.
- Strong Excel, analytical, data entry, and reporting skills, with attention to detail and data accuracy.
- Ability to build effective working relationships with internal project teams, procurement, suppliers, subcontractors, and external clients.
- Possess a passion for quality, compliance, process discipline, and proactive risk identification.
