Job summary

Emmerson Construction, Inc. in Carlsbad, CA, is seeking a Project Coordinator to support multiple development projects within the project management team.

You will work with a Project Manager and field Superintendent to ensure timely, accurate administrative delivery throughout the project lifecycle. Responsibilities include preparing reports, coordinating with subcontractors, processing contracts, creating logs and exhibits, and managing daily project documentation.

Qualifications

• 2+ years of construction industry experience (any trade).
• 2+ years of administrative experience in related industry.
• Proficiency in Microsoft Office (Word, Excel, SharePoint, Outlook).
• Ability to research and troubleshoot problems, both technical and procedural.
• Understanding of construction SOPs and their impact.

Responsibilities

• Prepare fiscal, administrative, and operational reports for multiple projects.
• Serve as a key contact for subcontractors and vendors.
• Prepare and process contracts with exhibits and buyout packages.
• Create and maintain schedules, logs, drawings, and related documents.
• Handle data input for contracts, changes, submittals, RFIs and reports.
• Maintain project folders and filing systems; upload docs to plan room.
• Schedule meetings, prepare agendas, and record minutes.
• Prepare draw, frame walk packages, and daily field reports.
• Process meter applications and maintain project spreadsheets.
• Issue bid invitations and track responses; conduct subcontractor prequalification.
• Assist with project closeout and warranty documentation.

What You’ll Be Doing

As a Project Coordinator you have the opportunity to take part in the planning and building of one-of-a-kind projects – an opportunity we’d love for you to take part in!

As a Project Coordinator, you will be primarily responsible for performing a variety of administrative and programmatic duties for multiple development projects in support of the project management team. You will work directly with a Project Manager and field Superintendent who will rely on your attention to detail, timeliness, organization and shared-goal of seeing positive results.

Additionally, your tasks will include, but not be limited to:

• Preparing fiscal, administrative, and operational reports
• Acting as a key point of contact for subcontractors and vendors
• Preparing and processing contracts with required exhibits, contract award packages during the buyout process and with an understanding of specific uses for each type of contract agreement
• Creating exhibits and logs including schedule of values, sequence sheet, list of drawings, tracking logs and other related documents
• Performing all data inputting and reporting functions including contracts, change orders, submittals, RFIs and other related reporting and data entries
• Maintaining consistent project folder setup and filing system
• Uploading construction documents to plan room and direct project team
• Scheduling meetings, preparing agendas, and recording meeting minutes for recordkeeping and distribution
• Preparing draw packages, frame walk packages, and other relevant project documentation, including filing man-count and daily reports from field staff
• Submitting meter applications as directed by project team
• Maintaining construction recycling spreadsheet and ticket spreadsheet
• Preparing and distributing bid invitations and tracking feedback
• Conducting the subcontractor prequalification process
• Preparing project closeout and warranty documents

What You’ll Need to Perform the Role

You’ll use the following to be successful in this role:

• 2+ years of construction industry experience (any trade welcome – general, electrical, plumbing, carpentry, engineering, HVAC)
• 2+ years of administrative experience in a related industry, including direct experience inputting and tracking information, such as documents, reports, and other information, in an automated system
• Proficiency in Microsoft Office (Word, Excel, SharePoint, and Outlook)
• Proven ability to effectively research and troubleshoot problems whether it be technical and/or procedural
• Comprehensive understanding of construction SOPs including the purpose and impact of procedures

It would be preferable for you to have:

• Experience in residential and/or light commercial construction (even more of a plus – affordable housing or multi-family)
• Associate degree in business or a construction-related field
• Experience using Procore and/or Bluebeam

You’ll also need the following attributes:

• Extremely organized with ingrained ability to prioritize and multi-task in a fast-paced environment
• Keen attention to detail with focused adherence to strict deadlines and procedures
• Sound problem-solving skills with demonstrated ability to exercise sound independent judgment
• Teamwork mindset to work effectively with a diverse group of people

Hiring Range

$32.00 to $37.00 per hour, depending on qualifications.

The pay range for this position starts as listed in the job posting but may change based on education and experience. Final compensation is determined by various factors, such as education, training, experience, work location, required travel (if any), and external market conditions. In addition to salary, we offer a comprehensive benefits package, including health insurance, 401(k), paid time off including a generous holiday schedule.
