  • Maintain documentation for upcoming and active projects using the internal server and project management software, ensuring consistent file organization.
  • Assist with monitoring and reporting on ongoing projects, including preparing and maintaining certified payroll documentation when required.
  • Assist with the maintenance and management of the companys Procore project site, including updating project information and documentation.
  • Support the Director of Operations with department-wide administrative tasks and special projects as assigned.
  • Independently research information, ask clarifying questions, and use sound judgment to make decisions that move tasks and projects forward.
  • Take ownership of problems or mistakes, communicate issues promptly, and work collaboratively with others to develop and implement solutions.
  • Collaborate with site-based superintendents and other on-site personnel, providing office-based support and managing paperwork and documentation related to field activities.
  • Occasionally visit job sites to support project needs while primarily coordinating and managing project documentation from the office.

  • Strong organizational skills with the ability to accurately maintain a high volume of project and contract documents across multiple projects.
  • Capability to monitor multiple projects simultaneously and follow up with project teams to ensure tasks and documentation are completed.
  • Experience supporting project management or construction management activities, including coordination of submittals and change-related documentation.
  • Proficiency with project management platforms, including experience maintaining data and documents in systems such as Procore or similar tools.
  • Strong communication skills to effectively interact with project managers, superintendents, stakeholders, subcontractors, and internal departments.
  • Ability to independently research information, ask targeted questions, and make informed decisions to accomplish assigned tasks.
  • Accountability and problem-solving skills, with a willingness to own issues and collaborate on solutions.
