Job summary

Austin Industrial in the United States seeks a Project Administration professional to monitor controls, support mobilization and closeout, and ensure policy compliance on complex projects.

You will develop document control processes for RFIs, submittals, and meeting notes, train teams, and foster strong relationships with subcontractors and suppliers. Bachelor’s degree required; four years of project administration experience preferred.

• Ability to train on company software (e.g., Project) and apply it to Lump Sum and Reimbursable projects.

Responsibilities

• Monitor project controls system on projects.
• Provide project mobilization and closeout support.
• Audit the project's control systems and ensure policy compliance.
• Assist project teams in preparing for audits and establishing document control for RFIs, submittals, correspondence, and meeting notes.
• Ensure timely contractual notices and report untimely subcontract issuances.
• Develop and maintain trust with subcontractors, ownership and design team; foster strong supplier relations.
• Assist in cost reporting, analyze job cost statements and provide feedback to Operations.
• Assist and review project planning and scheduling in line with corporate guidelines.

• Establish a document control process for the project including RFIs, submittals, correspondence, and meeting notes. Provide support for the document control process throughout the project
• Periodic confirmation that project teams are making contractual notices timely
• Report on untimely issuance of subcontracts
• Setup company standard quantity tracking system
• Ability to develop and maintain the trust of the subcontractors, ownership, and design team
• Effective working relationships with subcontractors and suppliers

Specific Duties And Responsibilities

Administration & Planning

• Monitor project controls system on projects
• Provide project mobilization and closeout support
• Audit the project's control systems and ensure compliance with policy
• Assist project teams in preparing for successful auditsEstablish a document control process for the project including RFIs, submittals, correspondence, and meeting notes. Provide support for the document control process throughout the project
• Periodic confirmation that project teams are making contractual notices timely
• Report on untimely issuance of subcontracts
• Setup company standard quantity tracking system
• Ability to develop and maintain the trust of the subcontractors, ownership, and design team
• Effective working relationships with subcontractors and suppliers

Cost Performance

• Assist and review project reporting is in accordance with corporate guidelines
• Analyze job cost statements and report on areas of poor cost performance
• Review Labor Cost Reports at regular intervals and provide overall feedback to Operations
• Review weekly man-hour productivity from Heavy Job and evaluate anomalies

Planning/Scheduling

• Assist and review project planning and scheduling is in accordance with corporate guidelines

Education

• Bachelor’s degree in a technical field

Experience

• Minimum of four years of project administration experience
• Understand and be able to train on company software (e.g., Project
• Administrative competency in Lump Sum and Reimbursable projects
