The role combines office support with project controls for FDOT projects, ensuring compliance and accurate documentation.
You’ll prepare audit packets, AFPs, and sub-consultant agreements, coordinate office duties, manage supplies, and support accounting.

Patel, Greene & Associates (PGA) is seeking a reliable, detail-oriented Project Controls Analyst to provide administrative, project controls, contract management, and for our projects with the Florida Department of Transportation (FDOT). The ideal candidate could work from our Carrollwood or Bartow, FL office. In this role, you will prepare, review, and track audit packets, fee proposals, contracts, amendments, and sub-consultant agreements while, maintaining accurate project records, and ensuring compliance with project requirements. In addition to project controls responsibilities, this position will provide general office support, including greeting visitors, managing office supplies, coordinating deliveries, and assisting with office events and activities.
Project Controls Responsibilities
Prepare forms and resumes for Florida Department of Transportation (FDOT) audit packets and compile in requested order.
Prepare Automated Fee Proposals (AFP’s)
Thoroughly review sub-consultant audit packets and AFP’s for accuracy and consistency.
Contact sub-consultant for corrections or additional information as needed for audit packet and AFP.
Prepare Task Work Orders (TWO), Scope(s) of Services and Fee Sheets as required.
Draft, edit and verify contracts and their amendments, updating associated schedules.
Prepare sub-consultant agreements and necessary back-up once the contract is finalized.
Setup new employees for the GEC Contract (Computer Security CBT training; Acceptable Use Agreement (AUA) and VPN Access Request Form).
Compile all forms/certificates and send to FDOT Program Manager for submittal via SailPoint.
Request Certificate of Insurance (COI) for all projects for PGA and sub-consultants on our projects
Ensure current COI’s have been received from all sub-consultants and request new COI once expired.
Assist accounting team as needed.
Front Office Administrative Responsibilities
Manage front desk operations, including answering and directing calls across all offices.
Monitor office, breakroom supplies, and coordinate vendor deliveries.
Complete office-related errands, including supply purchases, mail, and meeting orders.
Assist with monthly credit card and checking statement documentation, copying, and scanning.
Manage vehicle and conference room calendars and maintain company vehicle mileage and maintenance logs.
Prepare, copy, scan, and compile presentations and meeting materials as needed.
Provide proactive administrative support to PGA staff as needed.
Highschool Diploma or Equivalent
College graduate preferred
0-5 years of previous administrative or contract support experience
Accounting experience preferred
Completes tasks in a thorough, accurate and timely manner meeting PGA standards with minimal errors
Proficiency in MS Office and a wide variety of office support and administrative functions.
good organization skills and ability to perform multiple tasks in an organized manner
Excellent written and verbal communication skills
Ability to work independently and as part of a team
