Base pay range

Overview

We are a fast-growing and well-respected construction company based in South Florida, seeking a self-motivated, highly organized, and detail-oriented Project Assistant to join our expanding team. This is an excellent opportunity for a driven individual with a background in construction administration who is looking to grow with a company that values precision, teamwork, and long-term development.

About the Role:

As a Project Assistant, you will play a critical role in supporting Project Managers and Superintendents by managing essential documentation and communication throughout the entire project lifecycle. This role is ideal for someone who thrives in a fast-paced environment, enjoys staying organized, and takes pride in contributing to the successful execution of construction projects.

Key Responsibilities:

  • Assist Project Managers and Superintendents with full-cycle document management from project kickoff to closeout
  • Prepare and coordinate subcontracts, purchase orders, change orders, and subcontractor communications
  • Maintain and track all drawing logs and ensure revisions are accurately documented
  • Manage the distribution and storage of all project documents including drawings, specs, permits, ASIs, and sketches
  • Create, distribute, and file accurate meeting minutes for all project-related meetings
  • Collect and track required warranties from subcontractors and vendors
  • Archive all project files according to established procedures
  • Oversee and track the submittal/shop drawing process to ensure timely reviews and approvals
  • Work collaboratively with the field team and Project Manager to draft clear, concise RFIs
  • Maintain current and organized RFI logs per company standards
  • Assist in the monthly preparation and submission of AIA billing (Applications for Payment)

Requirements:

  • High School Diploma required; Associate’s or Bachelor’s degree in Construction Management or related field preferred
  • 2-4 years of Project Assistant experience in the construction industry preferred
  • Experience working with a general contractor is required
  • Experience with AIA billing preparation is required
  • Solid understanding of construction principles and document control practices
  • Exceptional organizational skills and strong attention to detail
  • Excellent verbal and written communication skills
  • Ability to multitask and work efficiently in a deadline-driven, team-oriented environment
  • Proficiency in Microsoft Office (Outlook, Word, Excel)
  • Familiarity with Sage and/or Procore is a plus
