Job summary

ENFRA LLC is hiring a Project Administrator III to support project staff on $10M-$30M initiatives with 50–200 onsite personnel. You will handle time tracking, onboarding, invoicing, documentation, and subcontract-related tasks in a dynamic energy infrastructure setting.

The ideal candidate has 3+ years of administrative experience, GMP billing exposure, and strong MS Word/Excel/Outlook skills in a fast-paced environment. Travel 0–5% is possible.

Qualifications

  • High school diploma or GED.
  • GMP billing experience preferred.
  • Proficient with Word, Excel and Outlook.

Responsibilities

  • Ensure accurate employee time tracking weekly with supervisor approvals.
  • Maintain and procure office supplies with manager approval.
  • Assist in new hire onboarding and IT hardware/permissions requests.
  • Electronic project file maintenance and document control.
  • Assist with invoice coding and approvals as requested.
  • Manage subcontracts, change orders, purchase orders and insurance certificates.
  • Prepare client billings and lien releases.
  • Collect client contractual requirements (licenses, insurance, safety programs).
  • Assist permits applications and inspections scheduling when applicable.
  • Contribute to project documentation (daily reports, look-ahead, labor forecast).
  • Compile submittals, specs, and O&M/start-up books.
  • Distribute documents to field teams and key stakeholders.
  • Communicate project information effectively to the team.
  • Reconcile tool/rental equipment lists and parking passes if applicable.
  • Perform other administrative functions as needed.

Overview

The Project Administrator III will be responsible for providing support to the project staff by assisting in the day-to-day operations of the project team, on projects $10M-$30M with 50-200 onsite employees.

Responsibilities
  • Ensure accurate employee time tracking on a weekly basis, including obtaining supervisor approval or other documentation for any timesheet discrepancies as well as timely submission to Payroll processor.
  • Properly maintain and procure office supplies with manager approval
  • Assist in new hire onboarding process and processing of IT hardware & permissions requests as necessary.
  • Electronic project file maintenance
  • Assist team in invoice coding and approvals as requested
  • Request and track subcontracts, change orders, purchase orders and sub insurance certificates
  • Prepare and submit client billings and lien releases.
  • Gather and submit any client specific contractual requirements (i.e. city license, contractor's license, certificate of insurance, emergency phone list and gather from other SI department's safety program, drug awareness program, SDS sheets for jobsite)
  • Assists project team with applying for permits and scheduling inspections (if applicable).
  • Assist with the development of project documentation- daily reports, 4 week look-ahead, labor forecast etc.
  • Compile submittal, spec & O&M/start-up books as requested by project managers
  • Review and distribute documents/correspondence to field personnel and other key parties as needed
  • Effectively & accurately communicate relevant project information to project team
  • Reconcile tool and rental equipment list (if applicable)
  • Manage parking pass process (if applicable).
  • Other administrative functions as requested
Qualifications
Required Education and Experience
  • High School diploma or GED equivalent.
  • 3+ years of administrative experience
  • GMP billing experience
  • Must be proficient in Microsoft Word, Excel and Outlook.
  • Must be able to multi-task and possess excellent organizational, communication and interpersonal skills.
  • Effective verbal and written communication skills.
  • Detail oriented and willing to tackle various ongoing projects in a fast-paced environment.
  • Well versed in the industry and the Company’s competitors.
Preferred Education and Experience
  • Construction administrator experience preferred.
  • College-level coursework and/or two years’ experience in construction management.
  • Construction billing experience is preferred with AIA billing/Textura as ideal
Travel Requirements
  • 0-5% of time will be spent traveling to job site(s)/office location.
Physical/Work Environment Requirements
  • Prolonged periods of sitting at a desk and working on a computer.
  • Climbing stairs.
  • Remaining in a stationary position, often kneeling, standing or sitting for prolonged periods.
  • Repeating motions that may include the wrists, hands and/or fingers.
  • Quiet environment.
  • Light work that includes adjusting and/or moving objects up to 20 pounds.

Pay Range

USD $25.13 - USD $33.56 /Hr.
