Job summary

Trane Technologies in Fishers, IN, is seeking a Project Administrator to support the Service group. You will handle project documentation, costs, invoicing, status monitoring, and administrative closeout under limited supervision.

The role requires coordination with the Area Service Manager and service staff to ensure timely project completion. A 1-year certificate or 3+ years of related experience is acceptable; Lean improvements and strong communication are valued.

Qualifications

  • One-year certificate from college or technical school; or three (3) plus years of related experience and/ or training; or equivalent combination of education and experience.
  • Candidates without a 4-year degree are encouraged to apply; we prioritize practical experience, relevant skills, and alignment with our leadership principles.
  • Participate in and contribute to lean improvements activities.
  • Must have strong communication skills, proactive approach with willingness to work independently as well as part of a team.
  • Proven experience prioritizing tasks to meet tight deadlines in a high-paced environment.
  • Familiarity with HVAC systems is preferred, not required.
  • Flexibility to work overtime/weekends, as required.

Responsibilities

  • Coordinates with cross-functional team members to ensure accurate and timely recording of project costs, materials, timesheets, labor hour allocation, and daily reports; initiates invoicing for completed work; and prepares payroll documentation while managing technician time.
  • Manage general administrative functions to ensure project costs are identified for processing service billings.
  • Generate, interpret, and print various assigned reports.
  • Monitor accounts receivable invoicing status; investigate and help resolve billing disputes with internal teams and customers.
  • Communicate effectively with other team members.
  • Cross-train for coverage of the service project administrators when staffing needs arise.
  • Schedule and participate in internal project team meetings to ensure accurate transfer of information.
  • Validate cost to date and reconcile project data in the business system.
  • Manage invoicing process and coordinate formatting, attachments, and mailing with Shared Financial Services.
  • Review billing backlog and coordinate with Project Managers, HVAC Field Technicians, customers, and Trane claims as needed to resolve obstacles.

Trane has a new exciting opportunity to join our organization as a Project Administrator in Fishers, IN, Service group. As a Project Administrator, under limited supervision, you are responsible for project documentation, materials, job costing, status monitoring, invoicing, and administrative closeout of each project. This position is required to closely interact with the Area Service Manager and the assigned service staff to ensure the timely completion of each project.

What you will do:
