Job summary

S&ME, Inc. in Wilmington, NC, is seeking a full-time Project Administrator to support multiple service lines.

You will act as an operational partner to senior leaders and project teams, coordinating communications, schedules, and compliance to keep projects on track. Ideal candidates have a high school diploma or GED, 5+ years in a related field, and strong computer literacy with CRM/ERP and MS Office; Notary Public certification within 90 days is a plus.

Qualifications

  • Minimum 5 years of experience in a related field (construction, engineering, or consulting preferred).
  • Proficiency with CRM and ERP systems, data entry, and Microsoft Office Suite is required.
  • Notary Public Certification or ability to obtain within 90 days of hire.

  • Coordinate field work scheduling and field staff support, ensuring compliance and client distribution of reports.

About The Role:

As a Project Administrator, you will serve as a trusted operational partner to senior leaders and project teams, assisting in keeping people, projects, and priorities moving forward for project success. This role goes beyond traditional administrative support; this role is a central hub for communication, coordination, and compliance, ensuring leadership teams are well‑supported, projects remain on track, and clients receive timely, accurate information. Working closely with the Office Coordinator, Office Principal, field staff, and project managers, your role will support both office and field operations for multiple service lines within the S&ME team. Success in this role requires strong communication skills, organizational skills, and the ability to manage competing priorities independently while collaborating effectively across teams.

  • Project & Proposal Administration: Support project managers with proposal preparation, project reporting, including field and laboratory data, and participation in project review meetings.
  • Field and Office Support: Work with the project managers, scheduler of field work, and field staff to support project and staff needs. Assist with implementation and ongoing compliance, including tracking field reports for client distribution. Support the Office Principal and other Office leaders with office‑specific needs.
  • Meetings, Events & Training Coordination: Provide support by producing meeting agendas and minutes, assisting with planning and coordination of meetings, events, safety, and required training, and helping coordinate new hires for onboarding.
About You:
  • You have a High school diploma or GED
    • Associate's degree in Business or Accounting, a plus
  • You have a minimum of 5 years of experience in a relevant field
    • Construction, engineering, or consulting firm experience, a plus
  • You have intermediate to advanced computer literacy, including proficiency with CRM, ERP systems, Metafield or data entry programs, and Microsoft
  • Office Suite
  • You have a Notary Public Certification, or the ability to obtain within 90 days of hire
