Job description

Overview

Colliers Engineering & Design is seeking a Project Administrator to support our CEI Division by managing project budgets. Responsibilities include setting up projects, managing billings, monitoring budgets, reviewing project budgets, assisting with collections, and ensuring accuracy in our accounting system. The role also involves confirming project documentation such as contracts and agreements prior to budget setup, with PSA preparation upon contract expiration. Strong math skills, organizational ability, and excellent communication are essential.

Responsibilities

  • Utilize software tools to assist Project Managers in managing project budgets.
  • Support Project Managers with budget management.
  • Track proposals, opportunity pipelines, purchase orders, and invoice clients using CRM software; generate financial reports and coordinate payments.
  • Ensure work complies with FDOT specifications.
  • Coordinate with departments and disciplines as needed.
  • Prepare and review contracts, professional services agreements, and sub-consultant agreements; follow up on signed documents.
  • Address billing inquiries from clients.
  • Prepare invoices and conduct QA/QC reviews.
  • Handle administrative tasks related to the position.
  • Prepare and submit application paperwork to relevant agencies, boards, and committees.
Qualifications

  • Preferred experience in A/E/C sectors.
  • Associates or Bachelor’s degree in Engineering Technology or related field preferred.
  • 5-10+ years of transportation construction experience.
  • Valid US Driver's License required.
  • Proficiency with MS Office, especially Excel.
  • Ability to collaborate with multiple project managers and meet deadlines.
  • Self-motivated, detail-oriented, with strong organizational and time management skills.
  • Dependable with the ability to prioritize tasks effectively.
  • Ability to work independently and in teams.
  • Willing to work overtime when necessary.
  • Effective communication skills.
  • Experience with BST software and CRM software is a plus.
