Job summary

Actalent is seeking a Marketing Administrator in Irvine, CA to support marketing campaigns, proposals, and business development for public-sector projects.

You will manage RFQ/RFPs, maintain libraries, update CRM records, and assist with formatting and editing to ensure accuracy and deadlines are met. A BA or 3–5 years’ related experience in AEC or professional services is preferred.

Qualifications

  • BA in Business Marketing, Administration, Journalism, Communications, or related field or 3–5 years of relevant experience
  • Working knowledge of public agency procurement processes (RFQ/RFP, SOQ, compliance forms)
  • Experience formatting and assembling compliant proposals in deadline-driven environments
  • Proficiency in Adobe Creative Suite (InDesign); Microsoft Office (Word, PowerPoint, Excel); CRM systems (Deltek VantagePoint)

Responsibilities

  • Monitor bid and procurement websites for new opportunities.
  • Download and organize RFQs, RFPs, and solicitation documents.
  • Support proposal development, formatting, and editing of marketing and proposal content for accuracy and consistency.
  • Maintain marketing libraries, resumes, project profiles, and reference materials.
  • Track industry conferences, trade shows, and networking events.
  • Manage CRM database updates and data maintenance.
  • Assist with document formatting, image resizing, graphic updates, and layout revisions.
  • Monitor and track business certifications and compliance-related documentation.
  • Support marketing and business development operations as needed.
  • Ensure all proposal and marketing materials meet submission requirements and deadlines.

Responsibilities

Work Environment

Job Type & Location

This is a Contract to Hire position based out of Irvine, CA.

Pay and Benefits

The pay range for this position is $50000.00 - $65000.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
