Direct Hire | Fully Onsite Salary: $50,000 annually and going up based on experience
Position Overview
A well-established construction organization is seeking a detail-oriented Project Accounting Coordinator to support billing, job costing, accounts receivable, and compliance activities across active projects. This position plays a key role in maintaining accurate project financial data, supporting collections efforts, ensuring regulatory compliance, and assisting with day-to-day accounting operations.
The ideal candidate is analytical, highly organized, and comfortable working with large amounts of data in Excel and have exposure to billing, project accounting or construction accounting.
Key Responsibilities:
Billing & Accounts Receivable
- Prepare and process customer invoices and billing documentation
- Assist with construction project billing and material sales invoicing
- Monitor accounts receivable aging and assist with collections follow-up
- Respond to customer inquiries regarding invoicing, pricing, and tax-exempt status
- Track and record incoming customer payments
Project Accounting & Job Cost Support
- Reconcile project costs and identify discrepancies
- Review labor allocations and job cost reporting
- Code invoices and credit card transactions to appropriate jobs and cost categories
- Support subcontractor payment processing and documentation review
- Assist with certified payroll tracking and project-related reporting
Compliance & Administrative Support
- Process and maintain lien waivers
- Manage and track tax-exempt certificates and supporting documentation
- Support business license renewals and regulatory filings
- Assist with contractor prequalification packages and compliance requirements
- Maintain organized project and accounting records
Qualifications:
Required
- VLOOKUP and XLOOKUP functions
- Data analysis and problem solving
- Strong attention to detail and organizational skills
- Excellent communication and customer service abilities
- Ability to manage multiple priorities and deadlines
Preferred
- 1-3 years of experience in billing, accounting support, accounts receivable, or project accounting
- Construction industry experience
- Exposure to job costing and project accounting processes
- Experience with lien waivers, payment applications, or compliance documentation
- Experience with construction ERP systems such as Trimble Viewpoint Vista
Education:
- Bachelor's degree in Accounting, Finance, Business, Construction Management, or a related field preferred
- Recent graduates with strong Excel skills and internship or accounting experience are encouraged to apply
