Function/Duties of Position

The Pre-Award Coordinator plays a crucial role in the research process by ensuring new trials enter the budget build process in a timely manner and that CTMS is finalized and financial accounts are set up within the required study startup timeline. This position will specialize in development and modification of visit schedules in OHSU’s Clinical Research Management System, eCRIS.

Primary responsibilities of this position are to assist in triaging new trials to the required budget department (CRM or KGM); development and management of visit schedule data in OHSU’s CTMS; management of departmental, clinical services, and coverage analysis approvals in eCRIS, all to ensure the pre-award startup process is completed within the required 90-day startup timeline. This position will facilitate communication between necessary parties (the pre-award finance team, Investigators, study team, clinical trial sponsors, OHSU clinical services departments, coders, Clinical Research Billing Office and Clinical Trials Office - Contracting) throughout study feasibility, start-up and budget amendments

Key Responsibilities:

  • Communication, Collaboration & Project Management
    • Triage new trials to budget teams and send initial sponsor communication email.
    • Track progress in Bridge Finance Dashboard and Smartsheets throughout pre-award process.
    • Collaborate with Investigators and the study team to facilitate internal budget review and approval, if needed.
    • Effective communication with multiple parties throughout pre-award process.
    • Document and track document iterations and changes throughout the life of the study
    • Serve as a pre-award resource for all study research staff
  • CTMS Development and Updates
    • Collaborate with clinical research managers and investigators, as well as OHSU coders and Clinical Research Billing Office, to translate comprehensive and accurate billing schedule/internal budget in creation of the CTMS visit schedule, and if needed, CTMS budget
    • Serve as expert in CTMS development
    • Manage timely updates to CTMS when notified by study teams of errors or adjustments, as well as updates due to amendments
    • Effectively document and track versions, changes, and communications related to startup and amendment updates to CTMS.
    • Train disease teams to make updates to CTMS, as needed.
  • General Financial Management and Process Improvement
    • Collaborate with both Pre-Award & Post Award Finance teams, as needed.
    • Process amendments, as needed
    • Conduct any additional study related projects or responsibilities as assigned.
    • Participate in ongoing finance workshops focused on process improvement.
    • Continual mindfulness of current processes, maintaining an awareness of potential improvements to increase efficiency and effectiveness.
Required Qualifications

Education & experience:

  • Three years of experience administering, coordinating parts or subsets of a project or program.
  • A Bachelor’s degree in Business Administration, Management, Public Administration, or a field directly related to the position will substitute for two years of the required experience.

Knowledge, skills, and abilities:

  • Attention to detail
  • Proficiency in Word, Excel, Access and other Microsoft Office programs.
  • Ability to work with a variety of diverse doctors, nurses and other research related positions.
  • Excellent record of time management and setting appropriate priorities
  • Excellent communication skills; ability to express and document ideas clearly and concisely in written communications; able to champion personal convictions while maintaining the ability to listen, comprehend, and adjust, when required, to other points of view.
  • Self-starter with ability to work independently but collaboratively; demonstrated ability to work independently and as part of a team; capable of establishing and maintaining effective working relationships with a range of individuals from a variety of departments, institutions and organizations; ability to lead a discussion, serve as a facilitator, and create a positive work environment.
  • Strong critical thinking skills
  • Strong problem-solving abilities and multi-tasking capabilities
Preferred Qualifications
  • Knowledge or experience in clinical research
  • Ability to comprehend complex research protocols and interpret the requirements of clinical research billing schedules.
  • Strong project management skills
  • Experience working in oncology
  • Experience working in a clinical or research environment
  • Experience with eCRIS, EPIC
  • Highly skilled in MS Excel
