Turning-Point Community Programs in Modesto, CA is seeking an organized administrative professional to support the Office Manager/Program Director. This at-will, full-time role coordinates appointments and interviews and handles a range of clerical duties to keep the program running smoothly.

Responsibilities include managing QuickBooks and ledgers, updating client information, preparing charts, filing, and assisting with program operations.

Qualifications

  • High school diploma or GED plus 2 years of related office experience.
  • Experience with scheduling, data entry, and client records.
  • Ability to pass vehicle safety inspection if older vehicle is used.

Responsibilities

  • Maintains QuickBooks and the checking account ledger, and petty cash when needed.
  • Supports program with processing ATP’s.
  • Develops and implements system to update client addresses and telephone information monthly.
  • Maintains accurate monthly census and tracks client housing moves.
  • Maintains MediCal swipe sheet and enrolls new client information.
  • Orders client needs, supports spend downs, and orders program supplies.
  • Updates DCR data and inputs Kets, 3M’s, and PAFs.
  • Creates monthly information on hospitalization, jail and homelessness from the case manager.
  • Makes new charts as needed and ensures consistency.
  • Completes client chart filing weekly and participates in monthly utilization review.
  • Organizes program files and coordinates with the program director.

Job description

Responsible for a wide variety of clerical duties and provides support to the Office manager/Program Director in the management of the office.

DISTINGUISHING CHARACTERISTICS

This is an at-will administrative position within a program. This position is responsible for the coordination of appointments and interviews as well as supporting the administrative needs of the program.

ESSENTIAL DUTIES AND RESPONSIBILITIES – (ILLUSTRATIVE ONLY)

The duties listed below are intended only as illustrations of the various types of work that could be performed. The omission of specific statements of duties does not exclude them from the position if the work is similar, related or a logical assignment to this class.

  • Maintains QuickBooks and the checking account ledger and, when requested by PD, petty cash and team funds.
  • Supports program with processing ATP’s
  • Develops and implements system to update client address and telephone information monthly.
  • Maintains accurate monthly census, assuring current dates of clients move into and out of housing.
  • Maintains MediCal swipe sheet, requesting new client numbers and demographic sheets, entering all information at the time of client enrollment into services.
  • Orders client needs, supports client spend downs, and orders program supplies.
  • Updates all needed DCR data and inputs Kets, 3M’s, and PAFs.
  • Creates and maintains monthly information regarding hospitalization, jail and homelessness from the case manager; gathering information on insurance status from swipe sheet.
  • Makes new charts as needed (tabs all in same direction).
  • Completes client chart filing weekly and participates in monthly utilization review.
  • Organizes program files – coordinate with program director to assure continuity/non-duplication of necessary forms, documents, etc.
MINIMUM QUALIFICATIONS AND CERTIFICATIONS & LICENSES
Education, Training and Experience:

A typical way of obtaining the knowledge, skills and abilities outlined above is through graduation from an accredited high school or GED program and two (2) years of experience performing a wide variety of the duties identified above.

Note: Work experience, on a year-by-year, may be used to qualify in lieu of the education requirements.

Licenses; Certificates; Special Requirements:
  • Reliable means of transportation capable of passing vehicle safety inspection if more than five years old excluding all modes of two-wheeled transport inclusive of bicycles, mopeds and motorcycles.
Travel Required

Yes . As needed for client transport and program support.
