Job summary

Apis Services, Inc. is seeking a Program Specialist to coordinate ISP activities, ensure compliance, and support person-centered planning across multiple teams.

You will help maintain documentation standards and participate in PBS initiatives, promoting quality service delivery. You will collaborate with program leadership, staff, and families to facilitate ISP meetings, monitor progress, and prepare reports identifying trends and improvement opportunities.

Qualifications

  • Bachelor's degree required.
  • Minimum of two years of experience working with individuals with IDD.
  • Knowledge of DDS ISP systems, processes, and regulatory requirements.
  • Proficiency in Microsoft Office Suite and related computer applications.
  • Valid driver's license with the ability to travel as required.

Responsibilities

  • Coordinate ISP activities and monitor compliance within the HCSIS system.
  • Schedule and facilitate ISP meetings with individuals served, families, and stakeholders.
  • Assist with data collection and progress monitoring toward outcomes.
  • Provide guidance on documentation standards and regulatory compliance.
  • Support satisfaction surveys for individuals and families and coordinate PBIS initiatives.
  • Assist with training materials and participate in PBS initiatives.
  • Perform other related duties as assigned.

Job description

Program Specialist

The Program Specialist coordinates and monitors activities related to the development, implementation, and documentation of Individualized Service Plans (ISPs) for individuals receiving services. This role collaborates with program leadership and staff to support person-centered planning, ensure ISP compliance, maintain documentation standards, and promote quality service delivery.


The Program Specialist serves as a resource on ISP processes, participates in quality assurance activities, and contributes to Positive Behavioral Supports (PBS) initiatives across the organization.



Major Responsibilities


ISP Coordination & Compliance


  • Monitor ISP activities within the Home and Community Services Information System (HCSIS).

  • Track ISP deadlines, alerts, and documentation requirements.

  • Ensure timely submission of required documentation.

  • Communicate compliance concerns and trends to leadership.



ISP Planning & Facilitation


  • Schedule and facilitate ISP meetings with staff, individuals served, families, and stakeholders.

  • Support teams in developing meaningful, measurable goals that reflect each person's needs and preferences.

  • Assist with data collection strategies to monitor progress toward outcomes.

  • Review goal progress and support plan revisions as needed.

  • Coordinate ISP documentation through the planning, review, and approval process.



Documentation & Quality Assurance


  • Conduct semi-annual reviews of ISP documentation and records.

  • Provide guidance to managers on documentation standards and regulatory compliance.

  • Prepare reports identifying trends, status updates, and opportunities for improvement.

  • Support organizational quality assurance initiatives related to service planning and implementation.



Satisfaction Surveys


  • Conduct satisfaction surveys with individuals receiving services before ISP meetings.

  • Coordinate survey participation for individuals who require communication supports.

  • Manage annual family and guardian satisfaction surveys.

  • Follow up on concerns or recommendations identified through survey feedback.



Training & Professional Development


  • Support training for managers and staff on ISP requirements, best practices, and compliance standards.

  • Assist with the development and delivery of training materials.

  • Participate in Positive Behavioral Supports (PBS) training initiatives.

  • Serve on the Positive Behavioral Supports Steering Committee.



Additional Responsibilities


  • Perform other related duties as assigned.



Qualifications


Required Education & Experience


  • Bachelor's degree required.

  • Minimum of two (2) years of experience working with individuals with intellectual and developmental disabilities (IDD).

  • Knowledge of DDS ISP systems, processes, and regulatory requirements.

  • Proficiency in Microsoft Office Suite and related computer applications.

  • Valid driver's license with the ability to travel as required.

Working Conditions & Physical Requirements


  • Primarily office-based work with occasional travel to program sites and meetings.

  • Flexible scheduling may be required to accommodate individuals served and family participation in interviews or planning meetings.

  • May be exposed to varying environmental conditions when visiting community or residential settings.

  • Exerts up to 10 pounds of force occasionally.

  • Primarily involves sitting for extended periods while performing administrative and computer-based tasks.
