Job summary

Visa Hunt is seeking a Program Registry Clinician to provide consistent customer service to patients, healthcare professionals and clients within the assigned program. The role centers on data collection and timely data entry, while adhering to program guidelines and safety reporting requirements.

The ideal candidate is a Licensed Practical Nurse, with 2–4 years of healthcare experience, proficient in Microsoft Office and able to work a flexible schedule including potential on-call shifts.

Qualifications

  • Must be a Licensed Practical Nurse licensed in the state of practice.
  • 2-4 years of healthcare or pharmaceutical experience preferred.
  • Proficiency in Microsoft Office (Word/Excel/Outlook); strong communication.
  • Ability to work 24/7 on-call shifts and flexible schedule.
  • Experience with customer service processes and data collection.

Responsibilities

  • Handle inbound and outbound contacts from patients, providers, and clients for a specific UBC program.
  • Provide consistent customer service and collect data per program guidelines.
  • Maintain knowledge of program guidelines, medications, and scripts.
  • Conduct data retrieval via phone, fax, or email to resolve discrepancies.
  • Complete follow-up, data entry, documentation, and safety reporting per guidelines.
  • Ensure task completion and review documents for program standards.
  • Enter data accurately and timely; apply corrections to program applications.
  • Document communications in the application log accurately.
  • Report adverse events as appropriate.
  • Prepare and ship program materials when applicable.
  • Escalate issues to management.
  • Ensure program compliance duties are completed.
  • Prepare compliance materials for client meetings.
  • Other duties as assigned by supervisor per SOPs.

Job description

Job Title: Program Registry Clinician

Brief Description: Provide consistent customer service support to all stakeholders for the assigned program while collecting data from patients and healthcare professionals.

Shift: Monday - Friday - 8:00AM EST - 5:00PM EST

Specific job duties:
  • Handle inbound and outbound contacts from various sources (patients, healthcare providers, client, etc.) related to a specific UBC program
  • Provide consistent customer service support to all stakeholders for the assigned program
  • Maintain a working knowledge of program guidelines, medication, or disease being referenced in call scripts, frequently asked questions, project specific procedures and program reference material
  • Conduct communication through various channels (phone, fax, email) to retrieve data or to address discrepancies in data received
  • Complete full follow-up with regards to missing information from stakeholders, including data entry process, as applicable, documentation, and safety reporting per program guidelines
  • Ensure all assigned project tasks are completed
  • Review documents for program standards and take appropriate action
  • Ensure data entry, filing, and data confirmation are completed accurately and in a timely manner
  • Apply corrections and/or updates to the secured program applications and/or appropriate documents that have been identified through data verification or follow up calls
  • Document all communications in the appropriate application contact log in an accurate, concise, and timely manner
  • Responsible for reporting any adverse events as appropriate
  • When applicable, may be responsible for preparation and shipping of program materials and documenting action within the appropriate application
  • Escalate potential problems or issues that require management's immediate attention
  • Responsible for ensuring all program compliance duties (including re-education of stakeholders, documentation of non-compliant event, review of alerts/ reminders, and healthcare provider follow-up) are completed
  • When applicable, may be responsible for preparation of program compliance materials for client meetings.
  • Other duties as assigned by the Project Manager, Coordinating Center Manager, Coordinating Center Director, and as determined by UBC SOPs

Desired Skills and Qualifications:
  • Licensed Practical Nurse licensed in the state of practice required
  • 2-4 years of related healthcare or pharmaceutical experience generally preferred
  • Proficiency in Microsoft Office including Word, Excel and Outlook preferred Excellent communication skills both verbal and written
  • Ability to work flexible work schedule that could include 24/7 on call coverage shifts
  • Working knowledge of customer service processes preferred
  • Ability to work on complex programs or multiple programs at the same time requiring critical thought processing
  • Proficient in multitasking and ability to prioritize tasks
