Job summary

The Jewish Board’s Adult Residential Services division seeks an Office Manager to handle program administrative and operational needs in Brooklyn, NY. You will enter data, track outcomes, and support staff with timely alerts and reminders, coordinating with the Program Director and Residence Manager to maintain up-to-date information.

You will work with clients on entitlement applications, OTDA processes, and complete fee agreements, with proficiency in systems like Tableau, Avatar, Foothold,

Qualifications

  • Associates degree with 2 years’ experience or HS diploma with 5 years’ experience.
  • Minimum two years’ experience working with human services programs, preferably experience in Supportive Housing.

Responsibilities

  • Answer incoming phone calls and manage the office doorbell as needed.
  • Maintains office equipment with Program Director approval and requests repairs/replacements as needed.
  • Coordinates with JB Facilities to ensure emergency evacuation, fire safety and first aid plans are up to date and distributed to staff.
  • CAIRS – enters and maintains all relevant information for all program clients.
  • CAPS – enters and maintains all relevant information for all program clients.
  • Avatar Bed Assignments – enters data and maintains real time information; crosswalk census tableau dashboard for accuracy.
  • Avatar – enters client Medicaid numbers and tracks monthly.
  • Complete Fee Agreements and Supported Housing Utility Worksheets upon admission, income changes and annually for all clients.
  • Entitlements – supports case management and clients with entitlement applications and follow up needs.
  • DMH programs - coordinate LOS reports with Program Director and track due dates.
  • Leases and apartment status coordination with Real Estate and Fiscal Department as needed.
  • Program Fee/Rent Collection – tracking arrears and monthly nonpayment alerts.
  • PNA Management - liaison with Fiscal and entitlement staff and client needs.
  • Track and reconcile program petty cash; secure program cards.
  • Track OTPS spending and alert if overspending.
  • Monthly Medicaid Billing Review for Apartment Treatment program.
  • Alerts for billing discrepancies.
