Job summary

The Coral Reef Futures Lab at the University of Miami Rosenstiel School is seeking a highly organized Program Manager to support the operational, administrative, and collaborative functions of grant-funded research and restoration projects.

This role coordinates timelines, grant reporting, meetings, and communications with researchers, institutions, and stakeholders, while managing PI scheduling and lab workflows.

Qualifications

• Bachelor’s degree required; preference for marine science, environmental science, biology, or related field.
• Exceptional organisational and time management skills, with the ability to manage multiple priorities simultaneously.
• Proactive, resourceful, and able to operate with a high degree of autonomy.
• Strong writing and communication skills, including professional email drafting and stakeholder coordination.
• High level of attention to detail and ability to anticipate needs in a fast-paced research environment.
• Comfort working with academic, scientific, and institutional processes.

Responsibilities

• Coordinate timelines, deliverables, and reporting across multiple active research grants.
• Track and support grant compliance, reporting requirements, and submission timelines.
• Attend grant-related meetings, document key outcomes, and drive follow-up actions across collaborators.
• Facilitate communication among research partners, institutions, and stakeholders to ensure alignment and progress.
• Manage scheduling for the Principal Investigator (PI), including meetings, travel, and key deadlines.
• Manage inbound communications, including high-volume email correspondence, drafting and responding on behalf of the lab or PI when appropriate.
• Oversee administrative processes including permits, purchasing, and university documentation.
• Maintain organised systems for project tracking, documentation, and internal workflows.
• Potential to assist with research and restoration activities as experience and expertise allows, including in the lab and field
