Job description

The University of Virginia Darden School of Business seeks a Program & Events Coordinator to join its team in Charlottesville, Virginia. This position will primarily support the operational and administrative functions of the newly created LaCross Institute for Ethical AI in Business, under the supervision of the Director of the LaCross AI Institute. Secondarily, this position will also support the operational and administrative functions of other Darden research centers, such as the Batten Institute, Institute for Business in Society, and Mayo Center for Asset Management. As a shared services position, this position will report to the Director of Shared Services. This position will work closely with faculty, staff and students to facilitate the execution of programs, events and initiatives that are led by the Centers of Excellence and Darden faculty. The successful candidate will be outgoing, entrepreneurial, flexible, and highly organized. This position requires superb communication skills and a high degree of professionalism, suitable for interacting with an array of constituents.

Key Responsibilities:

Administrative Support:

  • Help manage scheduling, communications, and coordination of meetings, seminars, and events.

  • Assist in managing center budgets and financials, including processing reimbursements, invoices, and expense reports.

  • Maintain and update center databases, records, and files.

Program and Event Management:

  • Help plan, organize, and execute center programs, such as research projects, faculty and student seminars, and courses and other educational programs, which can occur outside of typical business hours.

  • Help plan, organize, and execute center events, such as conferences, workshops, guest speakers, and webinars, which can occur outside of typical business hours.

  • Help manage relationships with external partners, including sponsors, speakers, and collaborators.

Communications:

  • Help draft and proofread communication materials such as newsletters, announcements, and project summaries.

  • Assist in maintaining the research centers’ web and social presence.

  • Assist in creating and executing digital communications via email and other means.

  • Liaise with internal and external stakeholders, including academic institutions, industry partners, vendors and alumni.

Required Qualifications:

  • High School diploma and four years of relevant experience. Bachelor's degree is strongly preferred and may substitute for years of experience.

  • Evidence of strong administrative/generaloffice support skills that can be demonstrated through a combination of work and extracurricular activities.

  • Higher education experience, working with academic programs preferred.

  • Experience managing website and social content preferred.

  • Ability to work under tight deadlines and manage multiple priorities.

  • Strong interpersonal relationships and teamwork skills.

  • Ability to work independently and exercise sound judgement.

  • High level of competency in Microsoft Office (e.g., Powerpoint, Outlook) is required.

  • Competency in Adobe (e.g., Photoshop), Salesforce (e.g., Marketing Cloud) and/or similar web, communication, and design tools (e.g., Canva, Acorn) is preferred.
