Job summary

Oklahoma Treatment Services,LLC is seeking a Clinic Operations Manager to oversee the day-to-day operations of the clinic, ensuring clinical and fiscal viability and regulatory compliance.

The role includes supervising staff, scheduling, payroll management, liaising with community agencies, and maintaining facility standards while supporting HIPAA and CARF compliance.

Qualifications

  • Four-year degree in counseling or related field is required or equivalent experience.
  • Master’s degree in human services is preferred.
  • Minimum of three years supervisory experience is required.
  • Valid driver's license or state ID and proper license/certificate must be provided.

Responsibilities

  • Supervise the clinic’s operations according to protocols and regulations.
  • Schedule staffing and manage payroll to budgeted levels.
  • Coordinate with community based agencies and oversee QA.
  • Conduct staff performance reviews and provide training.
  • Handle patient care coordination and billing oversight.
  • Ensure building and grounds are safe and well maintained.

Position Summary:

This position is responsible for the efficient and effective operations of the clinic, including clinical matters, fiscal viability and physical plant issues.

Essential Duties and Responsibilities include the following and other duties as assigned.
  • Supervise the clinic’s operations according to the organization’s administrative and clinical protocols, as well as all applicable federal and state regulations.
  • Schedule staffing for the clinic’s operating hours and manage payroll to budgeted levels.
  • Function as a liaison with other community based agencies.
  • Complete staff performance reviews and evaluations annually.
  • Screen, interview, and hire prospective staff.
  • Supervise the collection of fees; submit timely, accurate billing records and reports.
  • Assure that the building and grounds are maintained in a neat, clean, safe and healthy manner. Appoints and supervises the clinic’s safety officer.
  • Reviews and evaluates all requests for equipment and supplies; insures timely delivery of all invoices to Governance Authority.
  • Appoints and supervises the clinic’s Quality Assurance Committee.
  • Conducts and leads weekly Staff Meeting.
  • Coordinates 24 hour emergency access.
  • Permanent position on Treatment Team for review and approval of patient(s) Individual Treatment Plan.
  • Develop and maintain the clinic’s outcomes management system. Prepare quarterly reports.
  • Arrange for staff development and training.
  • Demonstrates knowledge of, and insures compliance with, all State and Federal regulatory bodies.
  • Accountable for implementing Policies and Procedures as outlined in company P&P, and in compliance with CARF standards.
  • Resolve Patient Grievances as needed; resolve staff complaints as needed; evaluate Incident Reports as needed.
  • Serve as the Facilities’ Chief Privacy Officer as required by HIPAA standards.
  • Serve as the clinic’s designated Equal Opportunity Officer.
  • Serve as Proxy for the Program Sponsor at quarterly Program Director’s Meeting with the State Opioid Treatment Authority.
  • Carry patient caseload as required by Governance Body.

Job Standards/Minimum Qualifications:
  • Four-year degree in counseling or related field, or experience in another field of similar experience.
  • Master’s degree in the human services field preferred.
  • A minimum of three years supervisory experience is required.
  • Must have a valid driver’s license or state issued id and provide appropriate license or certificate.

Physical
  • Frequent sitting at desk or computer while typing, completing paperwork, or meeting with patients.
  • Occasional lifting/carrying, paperwork, files, office supplies, up to 50 lbs.
  • Occasional push/pull exerting up to 5-10 lbs. force, opening doors, file drawers, pushing files in drawers
  • Occasional kneeling/crouching and ability to reach lower file drawers, stretching to store or retrieve materials.

Mental

Position requires constant mental alertness, attention to detail, and high degree of accuracy required. Must be able to follow oral and written instructions and follow-through on all assignments. Must be able to work independently and be able to use sound judgment in critical clinical decisions.
