Job Description:

The Polytechnic School at ASU is seeking a Program Coordinator Sr. The Program Coordinator Sr. will join an impact-driven team at the Laboratory for Energy And Power Solutions (LEAPS) focused on accelerating the global transition to a low-carbon economy and contributing to efforts that enable energy access in developing countries, mitigate climate change, and modernize the electric grid for improved resilience. Located within the Ira A. Fulton Schools of Engineering at Arizona State University (ASU) on the Polytechnic Campus, the 20-person LEAPS team brings together a vibrant community of researchers collaborating closely with the Global Futures Laboratory and across the university, as well as external partners in government, industry, and development agencies.

This role serves as a key operational pillar for LEAPS, providing high-level administrative, office management, HR, travel, and logistics support to keep the team connected, organized, and moving forward efficiently. Position Salary Range:

$57,900 - $65,000 per year; DOE

Essential Duties:
  • LEAPS Point of Contact & Communication: Serve as the main point of contact (POC) for LEAPS, managing incoming general inquiries, directing requests to appropriate personnel, and facilitating smooth internal and external team communications. Maintain and curate comprehensive LEAPS contact lists, directories, and communication distribution networks.
  • Office & Information Management: Manage day-to-day office operations, supplies, equipment, and administrative workflow for the LEAPS team. Oversee information management practices, including organized file storage, document archiving, and knowledge retention for ongoing and completed projects. Assist with team coordination, internal scheduling, and maintaining shared team resources and communication channels.
  • Event & Travel Coordination: Plan and execute logistics for LEAPS events, workshops, partner meetings, and project reviews. Provide travel support for team members and visiting partners, including travel arrangements, itineraries, and expense reconciliation.
  • Asset Management: Track and manage physical assets, hardware, research equipment, and inventory assigned to LEAPS.
Desired Qualifications:
  • Experience in office management, administrative operations, or program coordination within a university or complex research environment.
  • Strong organizational skills with demonstrated experience in archiving, record-keeping, and information management.
  • Experience coordinating complex travel itineraries, event planning, and logistics.
  • Experience providing administrative/HR support, onboarding team members, and maintaining contact databases (e.g., Salesforce, SharePoint, or Airtable).
  • Ability to manage asset inventory and track equipment/supplies.
  • Demonstrated ability to work effectively with remote, international, and cross-functional teams in a fast-paced environment.
  • Strong written and verbal communication skills.
Working Environment:

Climate-controlled office setting subject to extended periods of sitting. Daily use of a desktop computer. Ability to clearly communicate to perform essential duties.
