Responsibilities

  • Manage hands-on planning, scheduling, and execution of faculty and learning design events, including FOLC Fest and Learning Design Summer Camp; oversee budgets, venue, catering, AV, and logistics.
  • Organize vendor visits by coordinating requests, schedules, hybrid setup, and follow-up communications.
  • Process purchasing, invoices, and procurement requests; maintain shared documents and communications; set up event registrations.
  • Provide project management and administrative support for Learning Technology workgroups and leadership meetings; coordinate agendas and notes.
  • Develop and maintain standardized workflows, tracking systems, and reporting for AI-related and emerging technology initiatives.

Job Summary

The Office of the University Provost at Arizona State University is seeking a Program Manager to provide essential operational and administrative leadership that enables the Learning Technology team to advance ASU’s teaching and learning innovation agenda, including initiatives aligned with emerging technologies and AI-related priorities. This role will ensure the seamless execution of high-impact initiatives, such as the Future of Learning Community (FOLC) Fest, Learning Design Summer Camp, vendor visits, and faculty workgroups, by managing event logistics from planning through execution.

Essential Duties
  • Event Logistics & Management: Manage hands‑on planning, scheduling, and execution of faculty and learning design engagement events, including FOLC Fest and Learning Design Summer Camp; oversee event budgets, venue negotiations, catering, AV, and on‑site logistics; support AI Presidential Priority events and programming; develop timelines, communication plans, speaker support, and post‑event feedback surveys.
  • Vendor Visit Management: Organize learning technology vendor visits by managing the request process, aligning with internal stakeholders, building visit schedules, and handling all meeting logistics, including room reservations, hybrid setup, and follow‑up communications.
  • Administrative & Communications Support: Process purchasing, invoices, and procurement requests in accordance with ASU policies; maintain shared document systems, templates, and records; draft announcements, newsletters, and event communications; set up and monitor event registration systems.
  • Leadership & Workgroup Support: Provide project management and administrative support for Learning Technology workgroups and leadership meetings; coordinate schedules, agendas, and meeting documentation; capture and distribute notes and action items; develop slide decks and communications to ensure continuity and accountability.
  • Operational Systems Management: Organize team priorities, proposals, timelines, and deliverables; develop and maintain standardized workflows, tracking systems, and documentation; maintain project‑tracking tools and reporting for leadership, including coordination and visibility for AI‑related and emerging technology initiatives.

Working Environment
  • Activities are primarily performed in an environmentally controlled office setting, with extended periods of sitting, working at a computer, and participating in virtual and in‑person meetings.
  • Regularly required to stand, walk moderate distances, and move between offices, meeting spaces, and campus locations.
  • May be required to travel between university campuses and partner locations for meetings, site visits, and event coordination.
  • May require occasional evening or weekend work during event setup and execution.
  • Frequent bending, reaching, lifting, pushing, and pulling up to 25 pounds.
