Program Coordinator, Small Business Programs

Reports To: Director, East County Small Business Development Center (SBDC)

Salary Range- $22-25/Hr plus benefits

Classification: Non-exempt

Employment Status: Full-time

Location: East County EDC office/hybrid as approved

Position Summary

The Program Coordinator, Small Business Programs provides coordination, logistical, and administrative support across East County EDC’s SBDC program and other organizational programs and initiatives. A significant portion of this position supports the East County Small Business Development Center training calendar, including event setup, registration monitoring, materials preparation, attendance tracking, and reporting.

This role requires strong organization, accuracy, attention to detail, clear communication, and the ability to manage multiple priorities across programs, staff, public agencies, partners, businesses, and community stakeholders. The Program Coordinator, Small Business Programs works closely with the Small Business Development Center Director and supports the broader team to ensure programs and events are coordinated, accurate, responsive, and aligned with East County EDC’s mission.

Essential Duties and Responsibilities
Program and Event Coordination
  • Manage logistics, preparation, and follow-through for current and upcoming training events.
  • Monitor registrations and review event listings for accuracy, and submit correction requests to the Lead Center.
  • Prepare for in-person events, including printed handouts, sign-in sheets, and on-site setup.
  • Track, report, and upload workshop attendance data.
  • Assist with the twice-yearly build-out of the training calendar for the following year, including registration platform setup, virtual meeting links, and calendar invites.
  • Coordinate with the Small Business Development Center Director on advisor scheduling, event titles, duration, and locations.
  • Maintain accurate event records, files, documentation, and data needed for program and funder reporting.
Client and Advisor Support
  • Manage post-event follow-up with clients and advisors.
  • Respond to basic client and advisor questions and route more complex items appropriately.
  • Support collection of client success stories and client re-engagement outreach as assigned.
  • Provide coverage for training and event activity when the Small Business Development Center Director is out of the office.
Program and Administrative Support
  • Provide administrative and program support to assigned East County EDC programs and initiatives.
  • Support internal systems, files, records, contact lists, databases, and program documentation.
  • Assist with tracking program deadlines, deliverables, participation, outcomes, partner needs, and internal priorities.
  • Support coordination of program, committee, and partner meetings, workshops, and stakeholder convenings, including logistics, registration, materials, communications, and follow-up.
  • Support data collection, data entry, reporting preparation, and documentation related to grants, contracts, programs, and events.
  • Assist with partner and business outreach, and coordinate with staff and partners to gather program updates, success stories, and community impact data.
  • Support preparation of presentations, flyers, program materials, reports, and other written or visual materials.
  • Help maintain consistent program processes and support improvements to workflow and documentation.
  • Provide flexible support during high-priority organizational initiatives, events, campaigns, or programs.
Required Qualifications
  • Strong written and verbal communication skills.

  • Proficiency with Microsoft Office, Google Workspace, and similar productivity tools.
  • Ability to communicate and work professionally with staff, board members, businesses, public agencies, partners, funders, and community stakeholders.
  • Ability to follow direction, work independently, and ask clarifying questions when needed.
  • Commitment to East County EDC’s mission and work in economic development, small business support, and regional collaboration.
Preferred Qualifications
  • Experience coordinating training events, workshops, webinars, recurring event calendars, or grant- and contract-funded programs.
  • Familiarity with client and program data management systems.
  • Experience in nonprofit, public agency, chamber, Small Business Development Center, economic development, events, or administrative support environments.
  • Experience with virtual meeting platforms, including scheduling, link management, and calendar invitations.
  • Familiarity with Canva, Constant Contact, Mailchimp, WordPress, CRM systems, or similar tools.
  • Basic understanding of East County, regional economic development, small business support, or community partnerships.

Work Environment and Physical Requirements

This position operates in a professional office environment and includes regular off-site meetings, trainings, events, or community activities. The role routinely uses standard office equipment such as a computer, phone, copier, and related technology.

Classification and Work Hours

This position is classified as non-exempt and is eligible for overtime in accordance with applicable federal, state, and local wage and hour laws. The employee is required to accurately record all hours worked.

The standard schedule will be determined by the organization. Some evening or early morning work may be required for meetings, events, or organizational needs.
