Job summary

Job Description Summary

The Reporting, Training & Continuous Improvement Coordinator provides centralized coordination and administrative support for the Thrive Kansas Digital Mental Health Initiative by overseeing reporting processes, training logistics, implementation tracking, documentation management, technical issue coordination, and continuous quality improvement (CQI) activities. Working closely with implementation, evaluation, technical, and Community Health Worker (CHW) leadership teams, this role ensures accurate monitoring of program progress, compliance with reporting requirements, effective delivery and tracking of training activities, timely resolution of operational and technical issues, and the ongoing evaluation and improvement of implementation efforts to support program quality, effectiveness, and sustainability. The Thrive Kansas Digital Mental Health Initiative is a grant funded, statewide, evidence-based digital therapeutic strategy designed to expand access to treatment for depression, substance use disorders (SUD) and other mental disorders in rural Kansas. The initiative deploys clinically validated computerized mental health interventions supported by community-based facilitation and integrated into rural primary care, behavioral health, and community settings.

Job Duties
Training Coordination & Workforce Readiness Support
  • Coordinate training schedules for providers, navigators, support staff, project personnel, and participating organizations.
  • Maintain training calendars and communication materials.
  • Track training completion, attendance, and readiness metrics.
  • Coordinate logistical aspects of onboarding activities.
  • Maintain records and documentation related to training and workforce preparation.
  • Support coordination of cross-team educational and learning activities.
Reporting & Deliverable Tracking
  • Maintain reporting calendars and submission schedules.
  • Track grant deliverables and major reporting milestones.
  • Monitor deadlines for recurring reports and required documentation.
  • Assist with preparation and organization of reporting materials.
  • Maintain archives of submitted reports and supporting records.
  • Support dissemination activities, presentations, and stakeholder communications.
Continuous Quality Improvement (CQI) Support
  • Coordinate meetings related to evaluation reviews and CQI cycles.
  • Track CQI action plans, improvement activities, and follow-up tasks.Support Learning Collaborative planning and logistics.
  • Maintain records related to implementation improvement activities.
  • Monitor progress on CQI initiatives and improvement recommendations.
Evaluation & Documentation Coordination
  • Coordinate implementation and evaluation-related meetings.
  • Support documentation needs associated with evaluation activities.
  • Track evaluation timelines, deliverables, and required submissions.
  • Maintain organized records supporting implementation and evaluation processes.
  • Facilitate communication between operational and evaluation teams regarding documentation needs.
Technical Issue Tracking & User Support Coordination
  • Log, track, and route technical and access-related issues to appropriate team members.
  • Maintain issue-tracking systems and monitor resolution progress.
  • Track trends and recurring implementation challenges.
  • Maintain user-facing support documentation, FAQs, and guidance materials.
  • Coordinate communication regarding technical updates and system changes.
Collaboration with CHW Team Leadership
  • Coordinate training logistics involving CHWs as needed.
  • Track CHW-related implementation issues that require follow-up.
  • Communicate with CHW Project Manager and CHW supervisors regarding operational readiness and reporting needs.
  • Support alignment of CHW activities with reporting, CQI, and implementation-monitoring processes.

Work Environment

  • Familiarity with implementation science, CQI processes, or evaluation cycles.
  • Translate operational needs into structured workflows and documentation.

A combination of factors is considered in making compensation decisions including, but not limited to, education, experience and training, qualifications relative to the requirements of the position, and funding. At the University of Kansas Medical Center, a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range, taking into account the combination of factors listed above.
