Job summary

Chicago Public Schools (CPS) is seeking a Program Coordinator for the Office for Students with Disabilities to manage project lifecycles from start to finish, tracking performance metrics and ensuring timely delivery. This full-time, exempt role reports to the Business Operations Administrator.

The candidate should hold a Bachelor’s degree, have 3+ years in program/project management within education or nonprofit sectors, and possess strong collaboration and communication skills.

Qualifications

  • Bachelor’s degree required; PMP certification preferred.
  • Minimum of 3 years in program/project management in education or nonprofit sector.
  • Minimum of 2 years of full-cycle leading program/project management.

Responsibilities

  • Lead cross-functional initiatives across departments to standardize and streamline workflows.
  • Develop project plans with timelines, deliverables, and resources in collaboration with OSD leadership.
  • Lead risk management and identify potential project risks or issues.
  • Develop Standard Operating Procedures (SOPs) for teams in OSD.
  • Collaborate with stakeholders; communicate issues and resolutions promptly.
  • Provide consulting to departmental teams to streamline processes.

The Office for Students with Disabilities (OSD) works to support networks, schools, and families with all issues

related to special education including instruction, interventions, and legal and compliance support. OSD

provides the tools and resources to ensure that all students with disabilities receive a high-quality public

education that prepares students for success. OSD supports networks, schools, and families with all issues

Job Summary:

Reporting to the Business Operations Administrator, the Program Coordinator will be responsible for developing program project plans in OSD by managing lifecycles of each project from beginning to end that includes tracking, analyzing project performance metrics, strategies to support and meeting performance benchmarks according to timelines. This is a full-time, exempt position that will be paid for time worked on a salary basis.

The Program Coordinator will be held accountable for the following responsibilities:

Lead cross-functional initiatives across diverse departments to standardize and streamline

operational workflows, implementing robust process controls that ensure fidelity to project specifications and strict adherence to regulatory and internal compliance standards with Business Operations Administrator

  • Manage the lifecycle of each project from beginning to end that includes tracking, analyzing project performance metrics, strategies to support, and meeting performance benchmarks according to timeline
  • Develop project plans by defining project initiatives, deliverables, timelines, and resource allocations in collaboration with OSD leadership teams
  • Lead risk management plans for each assigned project and identifying potential risks or issues that pertain to the project
  • Develop Standard Operational Procedures (SOPs) for each team in OSD
  • Collaborate with high profile stakeholders with all department projects and effectively communicate with other stakeholders of issues and addressing them promptly
  • Consult and advise departmental teams with streamlining processes and procedures

In order to be successful and achieve the above responsibilities, the Program Coordinator must possess the following qualifications:
Education Required:

Bachelor’s degree from an accredited college or university

Project Management Professional (PMP) certificate preferred

Experience Required:

Minimum of three (3) years of relevant experience in program management and/or project management in education or nonprofit sector required

Minimum of two (2) years of full-cycle leading program and/or project management preferred

Knowledge, Skills, and Abilities:

Ability to deliver high quality projects in a fast paced environment

Ability to work independently with little or no supervision

Knowledge of IDEA, ADA, and other relevant policies and procedures

Expertise in managing multiple projects

Strong collaborative skills (including - working with multiple teams)

Strong communication skills (speaking - including presentations - listening, and writing)

Ability to identify risks and opportunities

Strong knowledge of project management tools and resources

Employees are required to live within the geographic boundaries of the City of Chicago within six months of their CPS hire date and maintain residency throughout their employment with the district. The Chicago residency requirement does not apply to temporary/part-time positions, however, all CPS employees must be residents of Illinois.
