Job summary

Washington University in St.Louis is seeking an Administrative Specialist to provide financial and administrative support to the Midwest Climate Collaborative, a multi-state network hosted by the Center for the Environment at WashU.

The role handles transactions, expense reports, budgeting support, HR data entry, travel logistics, meetings, and event coordination, with opportunities to contribute to grants and project reporting. This is an on-site position in St. Louis, MO with full benefits.

Qualifications

  • Education: High school diploma or equivalent.
  • Preferred: Bachelor's degree.

Responsibilities

  • Enters transactions in financial system.
  • Processes expense reports, invoices, reimbursements, and other payments for the MCC.
  • Tracks and monitors expenses for the MCC.
  • Assists in budget planning for projects and grants; may approve transactions; and run/review reports.
  • Enters personnel/payroll information in HR system.
  • Provides logistical support for presentations, trainings, interviews, workshops and events, including the annual Summit.
  • Schedules and coordinates meetings and travel arrangements.
  • Prepares travel expense reimbursements according to guidelines.
  • Maintains electronic documents and databases.
  • Supports assigned staff and coordinates procurement activities.

Position Summary Provides financial and administrative support to the Midwest Climate Collaborative, a multi-state and multi-sector network hosted by the Center for the Environment at WashU.

Primary Duties & Responsibilities
  • Enters transactions in financial system.
  • Processes expense reports, invoices, reimbursements, and other payments for the MCC.
  • Tracks and monitors expenses for the MCC.
  • Assists in budget planning for projects and grants; may approve transactions; and run/review reports.
  • Enters personnel/payroll information in HR system.
  • Provides logistical support and preparation for presentations, training, interviews, workshops and special events that occur on- and off- campus, including annual Summit (i.e. manages registration, arranges location, orders food, assembles materials, schedules speakers, prepares sign-in sheets and name badges, arranges parking, etc.).
  • Serves as point of contact for scheduling classrooms and lecture halls.
  • Schedules appointments and meetings with internal and external participants, handles complex travel arrangements and meeting details (i.e. setting up virtual calls, booking lodging, car, train, and plane travel to multiple cities).
  • Schedules and maintains daily appointment calendars, coordinates meeting details and confirmations.
  • Prepares travel expense reimbursement according to guidelines.
  • Provides administrative support to assigned staff.
  • Manages the organization and retention of electronic documents, sets up virtual meetings, takes notes during facilitated meetings.
  • Maintains/updates contact information, directories, departmental lists, email lists and databases.
  • May be responsible for updating/maintaining routine web pages and social networking sites.
  • Coordinates purchase order requests and work order requests.
  • Maintains office supply inventory and coordinates purchase of supplies as needed.
  • Assist in preparing contract budgets, grant applications, proposals, status reports and financial statements.
  • Perform other duties as assigned.

Salary Range
