The University of Illinois Chicago is seeking a Program Coordinator - AI Center Coordinator within the College of Medicine to manage day-to-day operations of the DME AI Center and assist faculty with simulation, assessment, research, education, certification, and workshops.

Responsibilities include coordinating center operations, supporting AI educational programs, grant and project coordination, event logistics, and maintaining records, budgets, and communications, with a focus on collaboration

Qualifications

  • Bachelor’s degree required.
  • One (1) year of operational experience in emerging technologies for education, including AI learning platforms.

Responsibilities

  • Coordinate center operations, communications, scheduling, documentation, logistics, and follow-up for AI-related initiatives.
  • Develop familiarity with DME AI platform functions and workflows.
  • Serve as primary contact for faculty, staff, learners, researchers, vendors, and collaborators.
  • Maintain organized records of activities, programs, events, grants, and outcomes.
  • Track AI platform finances/charges and analyze usage data.
  • Support learners and faculty in DME AI educational programs, including certificates and AI workshop offerings.
  • Manage learner access to DME AI resources and coordinate enrollment-related processes.

The Medical Education AI Center Coordinator will perform administrative duties related to the day-to-day operations of the Department of Medical Education (DME) AI Center in the within the College of Medicine. This position will assist Faculty with the implementation and deployment in the areas of simulation, assessment, research, education, certification, and workshops.

Duties & Responsibilities

Administrative and operations lead for day-to-day activities of the DME AI Center:

  • Coordinate center operations, communications, scheduling, documentation, logistics, and follow-up across multiple AI-related initiatives.
  • Develop working familiarity with basic functions, workflows, and user needs associated with DME AI platforms.
  • Serve as a primary point of contact for faculty, staff, learners, platform users, researchers, vendors, and collaborators within and external to the University of Illinois Chicago (UIC) using DME platforms.
  • Maintain organized records of center activities, programs, events, grants, platform use, contacts, meeting notes, decisions, and outcomes.
  • Track AI platform finances/charges and analyze usage data.

Program coordinator for AI educational programs:

  • Support learners and faculty involved in all DME AI educational programs, including certificate programs, AI in Undergraduate Medical Education activities, and AI Workshop programs, and future educational offerings.
  • Manage learner access to UIC/DME AI resources.
  • Coordinate program logistics, including enrollment-related processes, records, calendars, meeting materials, and participant communications.
  • Collaborate and coordinate with Health Professions Education administration, as needed.

Grant and project coordination for AI-related initiatives:

  • Collaborate with Faculty to manage and coordinate existing and future grants for associated AI projects.
  • Track project timelines, deliverables, personnel, budgets, meetings, reporting requirements, and required documentation.
  • Coordinate administrative components of pending and future grant applications, including timelines, collection of materials, formatting, routing, and submission requirements.
  • Support budget tracking, purchasing, reimbursements, payments, and other financial processes related to AI Center projects and grants.

Oversee logistics for AI-related events:

  • Manage and implement logistics for AI events in consultation with faculty.
  • Collaborate with the DME operations team to plan and implement logistics for events.
  • Support preparation of meeting materials, agendas, notes, action items, and follow-up communications.

Communications and documentation support for the DME AI Center:

  • Assist with internal and external communications, including announcements, newsletters, website updates, promotional materials, meeting materials, and stakeholder updates.
  • Support documentation needed for reporting, evaluation, continuity, and future planning.
  • Help ensure that AI Center activities, outputs, partnerships, and milestones are accurately tracked and communicated.
  • Perform other related duties and participate in special projects as assigned.
Minimum Qualifications Required:
  1. Bachelor's degree.
  2. A total of one (1) year (12 months) working operational experience in emerging technologies for education, including Artificial Intelligence learning platforms. (Note: Master's Degree in an area consistent with the duties of the position may be substituted for one (1) year of work experience.)
