Job summary

City of Eaton Rapids is seeking a Program Coordinator to manage parks, recreation and city-wide events. You will schedule leagues, supervise staff, and report on program activity while collaborating with the Director of Parks, Recreation & Events.

This role requires evening/weekend availability and strong safety awareness. Applicants should have a high school diploma or GED and experience with children, plus solid communication and supervision skills.

Qualifications

  • Must have a high school diploma or GED; college coursework related to Sport Management, Public Administration, or Community Development preferred.
  • Must have a valid Michigan driver's license and good record; background checks required.
  • Experience working with children is required.
  • Strong written and verbal communication skills are essential.
  • Experience in supervision is preferred.
  • Proficiency in Microsoft Office (Word, Outlook, Excel) is expected.
  • Experience with Adobe, Photoshop, and Canva is strongly preferred.
  • Willingness to obtain a Michigan Chauffer's License.

General Summary

Under the direction of the Director of Parks, Recreation & Events, coordinate parks, recreation and event activities, set sports and event schedules, oversee sports referees and supervise outdoor recreation center staff, provide reports to the Director of Parks, Recreation & Events on ongoing parks, recreation and event activities, and assist in city hall general administrative duties.

Essential Functions
  • Schedule various City parks and recreation functions including basketball, baseball, soccer and other recreation activities and leagues.
  • Regularly attend various parks and recreation functions outside of normal daytime business hours, including Evenings, Weekends & Holidays, to oversee activities and collect data related to these functions.
  • Oversee referees and supervise outdoor recreation staff.
  • Meet/Communicate regularly with the Director of Parks, Recreation & Events regarding concerns, updates and challenges.
  • Observe participant behavior, assess its appropriateness, enforce appropriate safety regulations and emergency procedures, and apply appropriate behavior management techniques.
  • Report on data related to the City’s ongoing parks and recreation activities and make recommendations for system improvements based on data and reports.
  • Develop and maintain a complete inventory of parks and recreation supplies.
  • Submit purchase order requests to the Director of Parks, Recreation & Events based on the needs of the department.
  • Communicate needed facilities improvements to the Director of Parks, Recreation & Events.
  • Keep and maintain a clean work environment both in and out of the office.
  • Regularly inspect work areas and activities to ensure workplace rules and regulations are being followed by subordinate staff.
  • Manage the Outdoor Recreation Center during regular operation.
  • Assists in the planning, development, and distribution of necessary marketing information.
  • Assists in pursuing additional resources for programs through grant applications, solicitation of donations, and other fund-raising activities.
  • Coordinate and approve the rental/reservation of public facilities with outside organizations.
  • Respond to community needs and public inquiries/complaints as they relate to recreation programming.
  • Represent the City staff at relevant Parks, Recreation & Event subcommittee meetings.
  • Assist in the planning and execution of large and small city-wide events.
  • Assist in General Office Administrative duties as necessary.
  • Work with the Director of Parks, Recreation & Events to develop the department's yearly budget.
  • Other duties as assigned.
Minimum Qualifications
  • Must be at least 18 years of age.
  • Must have a high school diploma or general education degree (GED); college coursework related to Sport Management, Public Administration, or Community Development strongly preferred.
  • Must have a valid Michigan driver's license and a good record. Subject to a criminal background check, driver’s license check and pre-employment physical.
  • Experience working with children.
  • Strong written and verbal communication skills.
  • Ability to read and interpret documents such as safety rules, internal reports, and external communications.
  • Experience in supervision strongly preferred.
  • Ability to operate Microsoft Office programs such as Word, Outlook, and Excel.
  • Experience with Adobe, Photoshop, and Canva Strongly Preferred.
  • Must be willing to obtain a Michigan Chauffer’s License
Other Considerations
  • Adult and Pediatric First Aid/CPR/AED Certified or willing to become.
  • Background and/or interest in outdoor activities.
Physical Requirements/Working Conditions

The employee must be mobile both in an office setting and in the field with the ability to stand, sit, stoop, and kneel, use hands to finger, handle, or feel and reach with hands and arms. The employee must regularly lift or push/pull objects of up to 25 lbs. and occasionally lift or push/pull objects of up to 50lbs.

While performing the duties of this job, the employee regularly works in an outdoor setting and occasionally works indoors. The employee regularly travels between work sites using a motor vehicle. The noise level in the work environment varies from quiet to loud.
