Job summary

The One Four Three Four Foundation in Boston, MA is seeking a Program Associate to support its Grants Officer and Directors in managing a growing grantmaking program and emerging scholarship initiatives. Responsibilities

  • Maintain the Foundation’s GivingData grants database with Grants Officer.
  • Assist current and potential grantees through the online grant process.
  • Prepare Board Books for quarterly Board meetings.
  • Execute formal acceptance and rejection letters.
  • Coordinate preparation of checks to grantees and internal payments.
  • Liaise with grantees and field requests for the Grants Officer and Board.
  • Arrange site visits as requested.
  • Monitor grantee reports and other requirements.
  • Conduct research to support Foundation priorities.
  • Edit and proofread internal and external documents.
  • Monitor inquiries to the Foundation inbox and craft responses.
  • Support administration of an emerging scholarship program.
  • Coordinate program-related payments.
  • Communicate with program stakeholders including partners, recipients, alumni, and mentors.
  • Facilitate program-related event planning.

Job description

The Program Associate will become a key member of the small team steering a private, family foundation which supports organizations primarily in the Arts, Education, Food, Human Services, and Youth Development. The Program Associate will support the Grants Officer in managing all of the Foundation’s active initiatives, including a robust grantmaking program and an emerging scholarship program.

The position will support and report to the Grants Officer, as well as the Foundation’s Director and Board.

About the Role

The Grants Associate role requires superior attention to detail, being adept at dealing with a variety of constituents and stakeholders, juggling multiple priorities and being a truly interactive professional who is solution-driven and anticipates needs. The Program Associate’s primary areas of responsibility are outlined below.

Responsibilities
  • Maintain the Foundation’s GivingData grants database in conjunction with Grants Officer
  • Assist current and potential grantees through the on-line grant process
  • Prepare materials and Board Books for quarterly meetings of the Board of Directors
  • Execute formal acceptance and rejection letters
  • Coordinate the preparation of checks to grantees and internal processing of payments
  • Liaise with grantees throughout year and field any requests requiring the Grant Officer and/or Board’s attention
  • Arrange for and participate in site visits as requested
  • Monitor and track grantee reports and other requirements
  • Conduct phone and internet research as needed to assist with Foundation interests and priorities
  • Edit and proofread critical internal and external documents
  • Monitor inquiries to the Foundation’s general email inbox, field requests and craft responses
  • Support the administration of an emerging scholarship program
  • Coordinate program related payments
  • Communicate with and support program stakeholders including but not limited to partner organizations, scholarship recipients, program alumni, and mentors
  • Facilitate program related event planning

General Office Coordination (15%)

  • Assist with day-to-day office needs including answering phones, greeting visitors, sorting and opening mail, and other administrative tasks.
  • Provide general administrative support including scanning, organizing, and inputting and maintaining web-based and paper files.
  • Edit and proofread critical internal and external documents.
  • Provide other administrative assistance as needed
Skills & Qualifications
  • At least 3 years of experience in a grantmaking organization
  • A clear, proactive, communicator who is comfortable working in a small team and is willing to ask questions
  • Excellent written and oral communication skills
  • Strong organizational skills and detail orientation, and an ability to manage and prioritize a complex set of tasks
  • Impeccable integrity, judgment, and discretion along with a professional demeanor and interpersonal style that elicits trust
  • Demonstrated diplomacy, judgment, initiative and problem-solving skills
