Job summary

East Side House Settlement in the Bronx seeks a Program Assistant for the Post-Secondary Pathways program. You will provide administrative and data-entry support to the Education Department, assist instructors, and help coordinate GED/ESOL workshops and related testing.

You will manage participant data, prepare weekly and quarterly reports, handle procurement, and assist leadership in process improvements to strengthen program performance.

Qualifications

  • High school diploma or GED required; AA in human services a plus.
  • Bilingual Spanish preferred.
  • Excellent verbal and written communication skills.
  • Ability to work with culturally diverse populations.
  • Microsoft Office and Google Suite proficiency.
  • Experience with outreach in urban communities helpful.

Responsibilities

  • Provide administrative support to Education Manager and Director.
  • Assist participants with enrollment applications and referrals.
  • Prepare classroom materials for GED/ESOL workshops and related work.
  • Manage participant data in databases and tracking spreadsheets.
  • Prepare weekly, monthly, and quarterly reports.
  • Coordinate or assist in planning events and outreach activities.
  • Procure supplies and manage inventory for the program.
  • Support staff with pre/post-testing and student progress documentation.

ESH’s Post-Secondary Pathways (PSP) program aligns with our mission by providing high quality young adultcareer development services on-site at partner schools and local community centers.The Program Assistant will provide administrative and clerical support to the Education Department at Post-SecondaryPathways Programs, under the supervision of the Education Manager, PSP and Director of PSP. The Program Assistant isresponsible for managing and entering program data and outcomes into funder databases, supply procurement, andlogistics for GED testing for the education department. This role involves working closely with leadership to trackprogress, problem solve issues, and develop systems to strengthen program performance. The Program Assistant is a keyposition in ensuring productivity and performance.A successful candidate will display the following characteristics:Commitment to mission and goals of East Side House SettlementAbility to work cooperatively with peers, strong communication skills.Strong analytic, problem-solving, and organizational skills.Displays initiative and ability to work on pressure and deadlines.Excellent interpersonal and communication skills.Ability to multi-task and follow-through on short- and long-term assignments.Primary FunctionsDuties and Responsibilities include, but are not limited to, the following:Assist participants with the completion of membership and enrollment applications and making necessaryreferrals to relevant service areas for additional support/assistanceProvide administrative support to Education Manager, Instructors and Director.Prepare classroom materials and activities corresponding with students’ needs, abilities, and interests; assistsInstructors in setting up/maintaining the classroom environment for GED, ESOL and education-related workshopparticipantsManage participant outreach and engagement activities using a prioritized list of potential and current studentsServe as the Data Manager for the participant database and/or tracking spreadsheets and assure that all pertinentdata relating to student services is accurately and timely reported.Ensure all participant files (physical and electronic) are up to date and in accordance with organizational andfunding source requirements.Participate in Program Improvement Team (PIT) that will meet regularly to assess and review program data andrecommend changes.Maintain department efficiency by planning and implementing office systems, layout and equipmentprocurement, maintain and replenish inventory, checking stock to determine inventory levels, and anticipateneeded supplies.Work with program staff to place purchase orders for supplies, equipment, and food.Provide guidance to students in establishing and pursing educational goals, review and document progress on aregular basis.Prepare and submit weekly, monthly, and quarterly reports to appropriate staffAssist in the pre- and post-testing of students as well as administer unit tests and quizzes to ensure learning.Develop and maintain productive relationship with relevant funder counterpart, attend trainings as assigned.Answer telephone, route calls, and take messages; Provide excellent customer service and client assistance.Table at partner events; do outreach in informal gathering places within NYCHA housing developments, such assitting areas and playgroundsParticipate in relevant departmental meetings, trainings, case conferences, workshops and events; Coordinate orassist in planning for events such as community meetings, block parties, health fairs and local business fairsOther DutiesPlease note this job description is not designed to cover or contain a comprehensive listing of activities, duties, orresponsibilities required of the employee for this job.
