Job description

Internet Archive is seeking a Program Assistant, Community Programs to work in our Archiving & Data Services group. The Archiving & Data Services group builds and manages a variety of products, programs, and services used by over 1,500 libraries, archives, museums, and cultural heritage organizations around the world to preserve and provide access to digital materials. The Program Assistant will support our work with mission-aligned cultural heritage organizations, governments, and social good non-profits. The role will primarily work in our Community Programs team which supports programs, projects, and national initiatives that provide a range of digital library services, training, and collaborations to increase preservation of and access to knowledge and strengthen memory worker and researcher capacities. The Program Assistant will be a key player supporting the operations and administration of a variety of programs includingCommunity Webs,CARTA, and other multi-institutional programs. The role will provide the opportunity for an early-career professional to gain wide exposure to the functions and operations of a large-scale, non-profit organization and digital library that works on a global scale with thousands of partner libraries. The ideal candidate will be technologically savvy, have solid skills with digital tools, be curious and motivated to learn quickly, have experience with the basics of project management, and be comfortable engaging with external partners. Attention to detail and the ability to multitask in a dynamic, fast-paced environment are essential. The successful candidate will have a strong interest in libraries, library technology, community building, and our nonprofit mission. The role will contribute support in a variety of areas: operations, event management, outreach and engagement, finances, advocating for our programs and organization, and directly supporting the department on administrative, research, and project management tasks. Key Responsibilities

  • Interface with and support senior team members on key projects, operations, and initiatives. Provide administrative support to a variety of programs and services for, and with, partner libraries, archives, and museums.
  • Conduct research and knowledge gathering in support of program and partnership development by management.
  • Liaise directly with external partners, including cultural heritage organizations of many sizes, consultants and external vendors, and senior leadership at other organizations.
  • Help plan, run, and administer public and online events, from conferences to invitational meetings to webinars.
  • Provide technical support to users of our services in collaboration with existing operations staff.
  • Create, manage, and maintain various internal reporting on key metrics and data and contribute to grant reports, contracts, partnerships and strategic collaborations, communications, and outreach.
  • Conduct additional duties as assigned in support of managers and our organization.
Qualification and Skills
  • Project management experience or community support experience is a plus.
  • Candidates should have a passion for or experience working directly for or with libraries, archives, museums, memory institutions, non-profits, or social impact organizations and should be motivated by our mission of “Universal Access to All Knowledge.”
  • Experience working remotely within distributed teams is a plus.
  • Must be able to balance multiple simultaneous projects, prioritize deadlines and responsibilities, and work in and enjoy a loosely-structured, dynamic work environment where all staff are juggling many projects and areas of responsibility.
  • Candidates should have excellent communication skills both to interact directly with team members and to represent IA, including comfort with public speaking and interacting with partners at all levels of seniority.
  • Flexibility, self-reliance, a sense of humor, a creative approach to problem-solving, and a production-oriented mentality are valuable qualities for success in the role.
  • Candidates should have excellent time management and multitasking skills and be able to both work independently and to seek advice when needed.
  • Some familiarity with our internal tools (Slack, Google Workspace, Jira, Zoom) is beneficial.
  • The role requires some travel to North America based events and meetings, including team and organization in-person meetings as well as conferences, symposia, and partner-convening events conducted as part of our programs.
Job Details This is a full-time, permanent, remote-first position working in a distributed team. Candidates will need to have significant time overlap with North America (and largely Pacific Time) based colleagues. Compensation will be commensurate with experience and the role is open to candidates of varying seniority with a general salary range of $50,000 to $65,000 that will take into account experience and location. Applicants must be eligible to work in either the United States or Canada. References must be made available upon request.
