Job summary

BronxWorks is seeking a dedicated full-time administrative assistant in Bronx, NY to support the Living Room program and related services. You will assist clients, manage inventories, handle clerical tasks, and coordinate with staff to ensure smooth daily operations.

The role requires a high school diploma, 1–2 years experience, and strong computer skills. The position offers opportunities to contribute to community-based services across multiple Bronx locations.

Qualifications

  • High school diploma or equivalent.
  • 1–2 years relevant experience preferred.
  • Proficiency with computers, email, voicemail, and copier equipment.
  • Proficiency in basic filing principles.
  • Driver’s license preferred but required for 8am–4pm shift.

Responsibilities

  • Assist clients with concrete needs (e.g., hygiene products, linens, MetroCards, laundry detergent, dorm access, etc.).
  • Oversee weekly under bed cleanouts and linen exchanges; manage bed pack-ups, including completing pack-up inventory.
  • Manage use of bed bug oven.
  • Monitor client laundry room as necessary.
  • Manage client property storage and dispose of client property in accordance with policy; manage inventory of hygiene products, linens, and other client supplies.
  • Ensure supplies remain stocked in appropriate locations (office supplies, cups for water).
  • Assist in bed count and census management (night shift).
  • Complete new client intakes, including immediate needs assessment, reviewing and signing forms, and data entry in databases.
  • Pick up and deliver packages and complete other errands as assigned.
  • Escort clients to appointments or locations using agency vehicle or public transportation.
  • Provide general clerical support (filing, faxing, typing, photocopying, sorting mail).
  • Enter client and program data into databases and tracking systems.
  • Assist in preparation of mailings.
  • Answer phones, relay messages, and greet clients and visitors.
  • Perform additional duties as assigned.

The Living Room is the BronxWorks central location for its adult homeless services. BronxWorks operates three 24-hour programs that include a drop-in center, a 50-bed safe haven for chronically street homeless adults, and our borough wide mobile street outreach program. All of the programs provide direct services to street homeless individuals in the Bronx including case management, food, clothing, emergency shelter, referrals to NYC shelters, and permanent housing placement.

RESPONSIBILITIES
  • Assist clients with concrete needs (e.g., hygiene products, linens, MetroCards, laundry detergent, dorm access, etc.)

PHYSICAL REQUIREMENTS
  • Ability to use a computer for prolonged periods.
  • Ability to occasionally lift and/or move up to 10 pounds.
  • Ability to stand, walk, or sit for long periods of time.
  • Ability to climb five flights of stairs, if required to conduct home visits and/or fieldwork.
  • Ability to bend and retrieve objects and/or documents.
  • Ability to travel in the boroughs of New York City and its adjacent counties via public transportation.
  • Ability to travel for a minimum of 1 mile within a reasonable amount of time and in all types of weather, including inclement weather, if required to conduct home visits and/or field work.
