Job summary

Bay Area Turning Point, Inc. is seeking a Program Assistant to support the Client Services department and program staff. The role includes daily administrative tasks, coordinating events, and assisting with crisis hotline calls and advocacy efforts.

| Job Title : Program Assistant | FLSA Status: Non-Exempt |
| Department: Client Services | Reports to: Deputy Director |
| Effective Date: 12/19/2023 | Pay Rate: $40,000 per year
$19.23 per hour |

Position Overview:
The Program Assistant is responsible for assisting the client services department with daily administrative operations and functions and supporting the program staff in meeting client needs.

HOURS: 40 hours weekly minimum or as necessary to achieve program objectives, responsibilities, and tasks. Work Schedule to include Sunday Off, Monday - Thursday 8:30 am–5:30 pm; Friday 8:30 am–3 pm; Saturday Off

Essential Duties and Responsibilities:

  • Assist with planning and coordinating client programs, events, and activities.

  • Support program growth and development as necessary.

  • Coordinate program communications.

  • Assist with coordinating collaboration relationships between staff, clients, and community stakeholders and identify appropriate programmatic resources.

  • Schedule and organize program-related meetings and events.

  • Create and maintain program records and documents to be stored on the Public Drive

  • Assist with answering the agency’s 24-hour crisis intervention hotline calls and face-to-face advocacy and intervention.

  • Provide direct and indirect advocacy, assistance, and follow-up to victims/secondary victims of domestic violence and/or sexual assault.

  • Assist with Community Awareness Events for Domestic Violence and Sexual Assault and Teen Dating Violence

  • Represent the agency in public presentations, professional training, awareness activities, and member/group coalitions.

  • Directly assist with all administrative functions within client services departments

  • Other Duties as assigned.
    Qualifications:

  • Associate-level position with strong administrative skills and computer knowledge.
    Education and Other Requirements:

  • Minimum of a 2-year degree or comparable experience.

  • Must pass a criminal background check, motor vehicle report, and reference checks.

  • Must have a clean driving record/automobile insurance coverage/be insurable/ have at least three years of verifiable driving experience. No more than 2 moving violations in a 3-year period for drivers over the age of 25. No more than 1 moving violation in a 3-year period for drivers ages 21-25

  • Provide proof and maintain personal automobile insurance coverage.

  • Must be 21 years of age or older

  • Ability to lift/carry/move a minimum of 40 lbs. for an extended distance.
    Job-Specific Competencies:

  • Computer knowledge of programs including Microsoft Office Suite.

  • Ability to demonstrate critical thinking skills to assist with in-the-moment issues or crises.

  • Sensitivity regarding the issues of family violence and sexual assault.

  • Manage multiple tasks and prioritize changing workloads.

  • Ability to communicate effectively, both orally and written.

  • Sensitivity and awareness of domestic and sexual violence and how to remain calm in crisis situations.
