The Program Assistant, under the direction of the Operations Manager, is responsible for supporting programs through client record retention, fee collection, reporting, petty cash management, invoice reconciliation, supply ordering, event coordination, and assisting in the overall operation of programs to best serve veterans.

Responsibilities
  • Maintain and oversee central databases of clients and program information, ensuring compliance with grant requirements.
  • Support the Case Management department in maintaining files, preparing for audits, and correcting deficiencies.
  • Manage program rents, including issuing receipts, maintaining rent worksheets and waivers, and reporting to staff.
  • Reconcile and deposit site cash accounts, donations, and revenue.
  • Monitor supply inventory, coordinate purchases, and manage vendor relationships.
  • Coordinate with program staff for supportive service funds to meet client needs.
  • Assist with accounting functions, including deposits and expenses, in collaboration with Accounts Payable.
  • Support grant applications, reports, budgeting, and billing processes.
  • Record contributions and maintain a database of contributors for outreach efforts.
  • Manage shipping, mailings, and tracking of donations and products.
  • Plan events for donors, partners, clients, and staff.
  • Support program-specific activities such as client screenings, eligibility assessments, and orientations.
  • Assist with human resources activities including posting positions, candidate screening, interview scheduling, and training coordination.
  • Help maintain the Operations Manual and update policies regularly.
  • Provide confidential support to management and staff.
  • Perform other duties as assigned.
Qualifications
  • Bachelor's Degree in Social Services, Accounting, Non-Profit Management, or related field; relevant experience may substitute for a degree.
  • Strong computer skills, proficiency in Microsoft Office.
  • Highly organized, detail-oriented.
  • Ability to work independently and responsibly.
  • Excellent oral and written communication skills.
  • Knowledge of veteran issues, homelessness, and local services is a plus.
  • Ability to listen, follow directions, and make sound decisions.
  • Capability to organize and implement short-term and long-term projects.
