Tufts Medical Center, Inc. seeks an experienced education programs manager to develop curricula and materials for residents, fellows, medical students, and staff across affiliated hospitals.

The role centers on designing and delivering postgraduate medical education with specialized knowledge. You will oversee the Education Office, coordinate lectures and exams, ensure accreditation compliance with RRC/ACGME/ECFMG, and serve as the primary liaison among program directors, chairs, and outside

Qualifications

  • Bachelor’s degree in Education, Liberal Arts, or related field
  • Five (5) years of experience in a similar setting OR High School diploma or equivalent with nine (9) years of related experience
  • Experience in higher education or residency programs preferred

Responsibilities

  • Directs residency and fellowship processes, sets screening criteria and reviews applicants while ensuring compliance with RRC, ACGME, ECFMG and TMC regulations
  • Manages the Education Office and serves as the primary contact for applicants, residents, medical and PA students, developing information packets and CME materials
  • Coordinates departmental educational lectures, plans topics for the academic year and secures regional/national speakers
  • Prepares orientation for new residents and students, maintains academic standards, and ensures regulatory compliance for accreditation
  • Develops and maintains integrated operative database and ensures RRC reporting compliance
  • Directs annual RRC reporting and three-year certification site visits, coordinating site visits with six affiliated hospitals
  • Ensures proper appointments, visas, licensure and malpractice coverage for residents and fellows
  • Directs examination and evaluation of residents and students and provides performance input for status decisions
  • Acts as liaison between residents, students and faculty at partner institutions and hospital administration
  • Counsels residents and students on educational and personal issues and arranges mentorship
  • Performs surveys and analyzes data to improve educational programs
  • Coordinates mock oral exams for residents and visiting attendings

Job Profile Summary

This role focuses on supporting the education and development of employees or students by developing education, curricula, materials, and programs to support educational growth. In addition, this role focuses on performing the following Higher Education duties: Works directly with clinical and academic staff to design and deliver academic and clinical education. A professional individual contributor role that may direct the work of other lower level professionals or manage processes and programs. The majority of time is spent overseeing the design, implementation or delivery of processes, programs and policies using specialized knowledge and skills typically acquired through advanced education. A specialist level role that is a recognized subject matter expert in job area typically obtained through advanced education and work experience. Typically manages large projects or processes with limited oversight from manager, coaches, reviews and delegates work to lower level professionals, resolving difficult and often complex problems.

Job Overview

This position manages the educational programs and initiatives. These programs involve coordinating activities for residents, fellows, medical and physician assist students and staff both within TMC and at outside affiliated/integrated hospitals. Works in conjunction with chair, the Program Director and division chiefs at TMC as well as with chiefs at outside hospitals in the administration of post-graduate medical education.

Minimum Qualifications
  1. Bachelor’s degree in Education, Liberal Arts, or related field AND Five (5) years of experience in a similar setting OR High School diploma or equivalent AND Nine (9) years of related experience.

  1. Seven (7) years of experience in a similar setting.
Duties and Responsibilities
  1. Directs the Department’s residency and the application process for fellowship programs. Sets the screening criteria and performs the initial review process for over eight hundred United States and foreign applicants, while ensuring compliance with RRC, ACGME, ECFMG and TMC regulations.
  2. Manages the Department’s Education Office and is the primary contact and information source to all applicants, House Officer’s, Medical and Physician Assistant student’s issues. Develops programmatic information packets and acquires additional material and CME accreditation and tracking information.
  3. Coordinates all the departmental educational lecture series. Plans the topic areas for the academic year. Seeks out appropriate speakers from the regional and national medical community. Determines teaching materials to support the aforementioned, including weekly resident lectures, monthly basic science programs, visiting professorships and grand rounds.
  4. Prepares and provides orientation to all new residents, fellows, medical and physician students to TMC and the Department. Ensures academic standards are current. Institutes new/revised policies to be comply with regulations, thus, maintaining residency program accreditation and the graduate’s ability to take the board certification exams.
  5. Develops and maintains the integrated operative database. Ensures it is in compliance with RRC reporting requirements.
  6. Directs and prepares the annual reporting effort to the RRC as well as the three year certification site visit. Directs RRC site visit report, collects and reviews information regarding operative experience and scholarly activity from six affiliated hospitals to document compliance with RRC guidelines as well as writing narratives describing various aspects of the training program. Coordinates three-day site visit and meets with RRC site reviewer to review collected data and explain policies and procedures.
  7. Ensures that all residents and fellows are appropriately appointed to the program. (i.e. appropriate visas, licensure, and malpractice insurance are in place).
  8. Directs the examination and evaluation process of the House Officers and Medical Students. Provides performance input to the Program Directors to determine resident/student status in the program. (i.e.: passing, probation, and termination).
  9. Functions as the primary expert/liaison for the Department’s House Officers, Medical and Physician Assistant students to the faculty of the six educational institutions and hospital administration.
  10. Counsels both residents and students with both personal and professional issues relating to their education. Directs them to appropriate support programs and arranges mentorship when appropriate.
  11. Performs regular surveys of residents and students to solicit feedback on the department’s educational programs. Analyzes data and presents results to the appropriate education committees with recommendation for improvement.
  12. Coordinates mock oral exams including scheduling with residents, NEMC staff and visiting outside attendings.
  13. Maintains collaborative, team relationships with peers and colleagues in order to effectively contribute to the working groups achievement of goals, and to help foster a positive work environment.

  • Interpersonal skills needed to deal effectively with a wide range of personnel, from medical students to chairmen and chiefs of surgery at the affiliated teaching hospitals.
  • Ability to handle and maintain highly confidential material.
  • Strong computer skills including knowledge of databases, spreadsheets, graphic as well as word processing applications.
