Program Administrative Specialist, Advancement Services

Under the direction of the Special Assistant to the Assistant Vice President of Advancement Services and Donor Relations Coordinator, the Program Administrative Specialist will be responsible for high‑level administrative and data management tasks, procurement, travel bookings and reconciliation, financial data reporting, and event preparation. The role supports a broad range of initiatives across Donor Relations, Stewardship, Prospect Management and Research, Gift Acceptance and Business Intelligence within the Division of University Relations.

The position involves:

  • Overseeing complex budget and financial tasks in compliance with State and UMCPF policies
  • Communicating with vendors and partner units, ensuring documentation is complete and accurate
  • Processing and reconciling payments, maintaining electronic filing and archiving systems per best practices
  • Reviewing and reconciling monthly reports, providing weekly updates to stakeholders
  • Preparing, filing and updating monthly budget reports and unit expenses
  • Drafting agendas, documenting key topics and action items, and managing scheduling for retreats, seminars and other meetings
  • Assisting with event planning and support, including data reporting, export, analysis, survey preparation and post‑event debrief meetings
  • Taking ownership of assigned and emerging projects, ensuring tasks are completed thoroughly and deadlines are met

This role is independent, proactive, and requires strong problem‑solving, data management and organizational skills, along with professional written and verbal communication. Confidentiality, attention to detail and a proactive relationship‑building approach are essential.

Location: Office‑based (Greater College Park area) with limited local travel as needed.

Physical Demands:

  • Work performed in an office environment, operating standard office equipment and keyboards
  • Ability to lift or move up to 25 pounds

Licenses / Certifications: None required.

Minimum Qualifications

  • Bachelor's Degree
  • Four years of administrative staff experience
  • Working knowledge of reference and research methods, analytical and statistical principles
  • Proficiency in office automation software and its applications
  • Ability to establish and maintain effective working relationships, handle sensitive materials with discretion and tact
  • Strong presentation skills, both oral and written
  • Ability to perform mathematical computations and present statistical material in chart and graph form
  • Independent multitasking and prioritization skills

Preferred Qualifications

  • Experience working with senior teams in complex operations
  • Experience collaborating with others across departments
  • Proven ability to take initiative as a self‑motivated, proactive professional who identifies needs and advances tasks or projects to successful completion
  • Experience overseeing multiple tasks or projects simultaneously, prioritizing effectively and taking ownership of initiatives
  • Experience providing back‑office support in complex financial and budget processes
  • Strong time management and organizational skills, with ability to plan, prioritize and track tasks using online calendars or other productivity systems
