Job Description
JOB SUMMARY

The Assistant Director of Data Management provides leadership for advancement data governance, database integrity, records management, and business process improvement within the Division of University Advancement. This position develops and maintains data standards, audit processes, and operational procedures to ensure the accuracy, security, and reliability of advancement information. The role partners closely with Advancement leadership, Information Technology, and campus stakeholders to support reporting, data analytics, system enhancements, and strategic decision-making. The Assistant Director oversees programming staff, manages database-related projects, and serves as a subject matter expert for data management best practices. The position plays a critical role in maximizing the effectiveness of advancement systems and supporting philanthropic, alumni engagement, and operational goals.

PRIMARY RESPONSIBILITIES
Data Governance, Integrity, and Compliance – 30%
  • Develops and implements data management strategies, standards,policies, and audit processes aligned with divisional anduniversity objectives.
  • Establishes and maintains data entry standards, operationalprocedures, and quality control measures to ensure data accuracyand consistency.
  • Leads ongoing data integrity reviews, audits, cleansinginitiatives, and database maintenance activities.
  • Ensures compliance with data security, privacy, regulatoryrequirements, and advancement industry best practices.
  • Identifies and resolves data anomalies through analysis,validation, and continuous process improvement.
Database Administration and Business Process Improvement –25%
  • Supports database enhancements, system configurations, dataimports, exports, and database health initiatives.
  • Collaborates with IT and Advancement leadership to improvedatabase performance, operational workflows, and CRMfunctionality.
  • Assists with the design, evaluation, and implementation ofdatabase structures, validation tables, and business processimprovements.
  • Researches database technologies, products, and services andprovides recommendations supporting future system development andmodernization.
  • Develops procedures that promote efficient, scalable, anduser-friendly business operations.
Reporting, Analytics, and Stakeholder Collaboration –25%
  • Partners with advancement leadership, IT, data stewards, anduniversity stakeholders to identify reporting and data managementneeds.
  • Assists in developing business intelligence strategies, reportingframeworks, and standardized data insights.
  • Serves as subject matter expert for data collection, reportingprocesses, data submissions, and information extractionactivities.
  • Provides consultation and guidance to stakeholders regarding datagovernance, reporting standards, and best practices.
  • Collaborates with internal and external partners to improve datainfrastructure and support strategic decision-making.
Leadership, Supervision, and Strategic Planning – 20%
  • Supervises and develops a team of programmers, providingdirection, project oversight, and performance management.
  • Oversees project planning, implementation, and execution fordatabase and process improvement initiatives.
  • Develops training materials and delivers education on datastandards, procedures, and operational practices.
  • Establishes annual goals, performance metrics, and business plansfor the programming team.
  • Fosters effective collaboration across university units tosupport successful adoption of data governance policies andinitiatives.
WORKING CONDITIONS & PHYSICAL REQUIREMENTS

Work is primarily performed in a professional office environment with extensive computer use and frequent interaction with university leadership, Advancement staff, IT professionals, and external partners. The role requires prolonged periods of sitting, viewing computer screens, and handling detailed data and reporting activities. Responsibilities include managing multiple concurrent projects with competing deadlines while maintaining a high degree of accuracy and attention to detail. The position involves sustained analytical thinking, problem-solving, decision-making, and collaboration across diverse stakeholder groups.

SUPERVISORY RESPONSIBILITIES

Directly supervises and provides leadership to a team of two programmers. Responsibilities include hiring recommendations, onboarding, assigning and monitoring work, coaching and development, performance management, goal setting, prioritization of projects, and ensuring successful completion of department objectives.

40 hrs/week, Monday - Friday

Minimum Qualifications

"A Bachelor's degree or an equivalent combination of education and experience and at least 4 years of experience from which comparable knowledge and skills can be acquired is necessary

Preferred Qualifications
  • At least 4 years of experience preferred, including teamleadership.
  • Proficient in use of reporting software, specifically Excel andPowerBI as well as SQL Server, Dynamics 365, and Microsoft Powertools.
  • Proficient with CRM Advance or other relational databasemanagement systems.
  • Must be able to maintain data management standards includingdata confidentiality, data entry requirements, and accessingreporting tools.
  • Must have a high level of independence in accomplishing theresponsibilities of the position.
  • Ability to serve as a translator between campus stakeholdersand technical groups.
  • Knowledge of higher education and university advancementoperations.
  • Must be able to use sound judgement and discretion.
  • Strong organizational and time management skills.
  • Ability to work independently while also working as a member ofthe University Advancement team.
  • Ability to troubleshoot technical issues.
Anticipated Hiring Range

$60,944-$78,000
