Job summary

Armed Services YMCA Hawaii is seeking a full-time Administrative and Program Assistant at our Joint Base Pearl Harbor-Hickam location.

You will support program operations, manage member data, and assist with events, reporting, and donor files while delivering excellent customer service.

Qualifications

  • Customer service experience is required or highly valued.
  • Strong communication and organizational skills are essential.
  • Basic bookkeeping aptitude is a plus.
  • Proficiency with MS Word and Excel expected.
  • Comfort with data entry and maintaining records.

Responsibilities

  • Collaborate with the team to meet program needs and assist as a program lead when needed.
  • Serve as the go-to for program information and referrals.
  • Keep member data and reference systems organized and up to date.
  • Provide program reporting, correspondence and statistics with accuracy.
  • Coordinate family and special events.
  • Handle calls, emails and inquiries professionally.
  • Arrange repairs and maintenance to keep operations running smoothly.
  • Manage income and expenses with accuracy; balance petty cash.
  • Prepare deposits and maintain financial records and donor files.
  • Recruit, train and maintain volunteer records.

What You’ll Do
Program and Services Management:
  • Collaborate seamlessly with our exceptional team, ensuring program needs are met, sometimes even filling in for a program lead.
  • Serve as the knowledgeable go to for program information and referrals.
Administrative Excellence
  • Keep our member data and reference systems organized and up to date.
  • Provide program reporting, correspondence, and statistics with precision.
  • Ensure the office is well organized and supplied.
  • Help coordinate family and special events that leave lasting memories.
  • Handle phone calls, emails and inquiries like the welcoming and friendly pro you are.
  • Arrange for repairs and maintenance to keep everything running smoothly.
Financial Mastery
  • Manage income and expenses diligently, with accuracy being your middle name.
  • Keep the petty cash in perfect balance.
  • Prepare bank deposits and maintain financial records and order.
  • Assist with donor files and acknowledgements.
Volunteer Champion
  • Inspire, recruit and train volunteers – they’re the heart of our organization.
  • Maintain volunteer records and track their invaluable contributions.
