Professional Administrative Assistant - Office & Administrative Specialist, Principal

Apply now to join the State of Minnesota as a Professional Administrative Assistant in St. Paul. This full-time, permanent position offers an opportunity to provide advanced administrative support within the Revenue Department's Appeals, Legal Services, & Disclosure Division.

Key Responsibilities
  • Manage day-to-day office activities and provide professional assistance to attorneys and division staff.
  • Serve as the initial contact for inquiries from taxpayers, government officials, and the public.
  • Maintain confidentiality of sensitive information and documents.
  • Process Revenue Notices, Delegations of Authority, Legislative Bulletins, and Bill Summaries.
  • Maintain records and documentation related to division activities.
  • Utilize various computer programs and provide technical support to staff.
Minimum Qualifications
  • Proficiency in word processing, editing, and formatting documents.
  • Knowledge of accounting systems and ability to query and compile reports.
  • Competence in standard office software (MS Word, Excel, Outlook, etc.).
  • Strong customer service skills and tactful communication.
  • Ability to handle sensitive inquiries and recommend administrative improvements.
Preferred Qualifications
  • Experience in high-pressure environments with strict deadlines.
  • Skills in calendaring and scheduling meetings.
  • Ability to prioritize, multitask, and work independently.
  • Technical proficiency in Windows OS, Microsoft Office Suite, SharePoint, and other specified tools.
  • Problem-solving skills and attention to detail.
Additional Information

This role requires occasional movement of office items and a background check prior to employment. Applicants must be legally authorized to work in the U.S. without sponsorship. The position is open to all qualified applicants until 05/15/2025, with consideration for bids until 05/08/2025.
