Position Summary

The Episodic Production Coordinator functions as an extension of a lead producer and serves as the main point of contact while working with internal and external teams to organize, supervise, and monitor the progress of projects. They possess a sense of urgency, thrive in a fast‑paced and collaborative environment, and consistently deliver accurate, high‑quality work on schedule. The role requires a highly professional demeanor and diplomacy when dealing with clients, production management, coworkers, and artists. The coordinator reports to the Head of Production, providing support and executing task‑based work for the episodic finishing production team.

  • Location: Hollywood, CA (Onsite)
  • Pay Range: $24.00 – $26.00 USD hourly
  • Hours: 3 PM – 11:35 PM, Monday – Friday (overtime, variable shifts, weekends and holidays as needed)
  • Travel: Possible travel to Santa Monica studio as required
Main Duties

The Production Coordinator will work closely with the Lead Producer to manage and drive online, color, and delivery schedules, act as a primary point of contact, and maintain effective communication with internal teams and clients regarding job status. Responsibilities include coordinating project needs, keeping production teams updated, generating status reports, supporting assistants, interfacing with clients, creating and billing work orders, ensuring resources are available, troubleshooting session issues, and scheduling across sister facilities.

Key Responsibilities
  • First‑hand communication with Producers throughout the day.
  • Collect and log project status and key information.
  • Keep the production team updated on project status.
  • Generate prep and post status reports, daily memos, and week‑at‑glance summaries.
  • Support episodic assistants with project information, task prioritization, and required elements.
  • Interface with clients if required job elements are missing.
  • Assist producers in creating, actualizing, and billing work orders.
  • Ensure all resources assigned to a job are available as scheduled.
  • Confirm projects and resources are ready for sessions to begin on time.
  • Work with producers and assistants to troubleshoot any session‑related problems.
  • Greet and escort clients to the bays upon arrival.
  • Check in on artists, clients, assistants, and client services regularly.
  • Notify producers of potential delivery deadline issues.
  • Set up test feeds prior to session, including all face‑to‑face virtual interaction.
  • Communicate with engineers for network or technical issues.
  • Engage engineering staff to resolve urgent technical problems.
  • Project scheduling.
  • Coordinate project details across sister facilities.
Qualifications

Self‑starting, positive, can‑do attitude. Adaptive, organized, proactive, and able to persevere under pressure in a quick‑pace environment. Desired experience and skills:

  • Previous experience in Entertainment/Film/Arts.
  • Experience in episodic or feature finishing post‑production.
  • Basic knowledge of offline editing, VFX, and sound workflows.
  • Basic knowledge of scheduling the post process.
  • Experience with Media Pulse and/or post‑production scheduling software.
  • Background in offline editing.
  • Knowledge of task‑based software (ClickUp, Asana, Jira).
