Position Summary
The Production Compliance Officer plays a critical role in ensuring operational efficiency and regulatory adherence across multiple projects. This position is responsible for maintaining accurate records, monitoring job progress, and ensuring compliance documentation is completed and properly stored. Acting as a central communication hub, the coordinator facilitates collaboration between internal teams, subcontractors, vendors, and clients. The ideal candidate will be highly organized, proactive, and skilled in managing schedules, tracking milestones, and supporting both compliance initiatives and project execution. This role requires strong communication skills, attention to detail, and the ability to adapt in a fast-paced, dynamic environment.
Responsibilities
- Review and respond to email communications in a timely and professional manner.
- Monitor job boards and daily schedules to identify projects requiring compliance action.
- Maintain accurate records on job boards and relevant systems, and update fields as tasks are completed.
- Prepare and distribute daily compliance reports, highlighting any outstanding requirements.
- Organize and save all completed documentation in designated systems.
- Attend all scheduled meetings and webinars to stay informed on relevant updates and procedures.
- Provide support to other Compliance team members as workload permits.
- Maintain project schedules, track tasks and milestones, and ensure timely completion of assignments.
- Collaborate with technicians, subcontractors, and vendors to ensure the timely delivery of services and materials.
- Serve as the primary point of contact for project-related communications, facilitating clear information flow between managers and field teams.
- Provide regular updates to management and clients regarding project progress, timelines, and any challenges encountered.
- Ensure accurate completion and storage of project documentation, including R365 and DocuSketch.
- Address client concerns promptly, coordinate follow-up actions, and assist in client meetings with project updates.
- Monitor work quality, conduct site visits, and ensure compliance with industry standards and company policies.
- Identify potential risks or issues that could impact project success and take proactive steps to mitigate them.
- Assist project managers with scheduling, emails, documentation, and overall office organization.
- Other duties as assigned or apparent.
Skills/QualificationsRequired- Two or more years of proven experience in customer service.
- Outstanding verbal and written communication skills.
- Technologically competent.
- Excellent problem-solving skills.
- Strong organizational skills and the ability to manage multiple tasks simultaneously.
- Proficient in Microsoft Office Suite
- Ability to work collaboratively with teams and clients.
Preferred- Previous experience working in the Restoration industry is a plus.
- Experience with Xactimate and/or DASH system is a plus.
Work EnvironmentThis role is in an office work environment. This position will primarily be indoors, working near or around other individuals in an office setting.
Physical DemandsWork is performed in an office environment and requires the ability to operate standard office equipment and keyboards. Must have the ability to lift and carry small parcels, packages, and other items, to walk short distances, and sit for extended periods of time.
