Job description

The Production & MaintenanceCoordinatorplays a critical role in supporting plant operations through production reporting, maintenance planning coordination,assetinventory managementfor the maintenance team, andofficeadministrative support. This position serves as a key liaison between Production, Maintenance, and Plant Leadership by ensuringaccurateoperational reporting, supporting preventive maintenance activities, coordinatinginventoryandpurchasingneeds, and maintaining administrative processes that keep the facilityoperatingefficiently.

The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced manufacturing environment. This role requires strong analytical skills,proficiencyin reporting and data management, and the ability to coordinate activities across multiple functions.

ESSENTIAL FUNCTIONS:
Maintenance Planning and Coordination
  • Coordinate preventive and corrective maintenance activities with maintenance personnel and external service providers.
  • Develop andmaintainmaintenance schedules, calendars, and planning documents.
  • Create, monitor, and close maintenance work orders within CMMS (MaintainX).
  • Track maintenance backlog andassistwith prioritization of work activities.
  • Coordinate equipment service visits, planned shutdowns, and vendor activities.
  • Maintain maintenance records, equipment files, service histories, and related documentation.
  • Weekly reporting of maintenance KPI’s
  • Order maintenance, repair, and operations (MRO) supplies, materials, and replacement parts.
  • Monitor inventory levels andinitiatereplenishment requests to support maintenance operations.
  • Track purchase orders, deliveries, and maintenance-related expenditures.
  • Assistwith equipment documentation, warranties, and asset records.
  • Support initiatives that improve equipment reliability, maintenance effectiveness, and operational efficiency.
Production Administration
  • Generate, compile, and distribute daily, weekly, and monthly production reports.
  • Analyze production data and prepare operational performance summaries for plant leadership.
  • Maintain production records, databases, and other operational documentation.
  • Track and report key performance indicators (KPIs), including production output, downtime, efficiency, and laborutilization.
  • Reconcile production information from multiple sources to ensure reporting accuracy.
  • Assistwith inventory tracking, material usage reporting, and production schedule updates.
  • Prepare presentations, dashboards, and reporting materials for leadership meetings.
  • Support continuous improvement initiatives through data collection and reporting.
Administrative Support
  • Provide general administrative support to the Plant Manager and site leadership team.
  • Process and distribute incoming mail, packages, and shipments.
  • Maintain attendance records, timekeeping documentation, and employee files as assigned.
  • Schedule meetings and coordinate invitations, agendas, and meetinglogistics.
  • Answer and direct incoming telephone calls and visitors.
  • Order office supplies andmaintainadministrative inventories.
  • Assistwith filing, record retention, and document management.
  • Manage company uniformprogram, including ordering, distribution, inventory control, and coordination with vendors to ensure all employees are properly equipped.
  • Oversee onsite employee parking management, including space allocation, access coordination, and issue resolution.
  • Coordinate onsite interviewlogistics, including room setup, candidate reception, and interviewer alignment to ensure a positive candidate experience.

EDUCATION, EXPERIENCE AND SKILLS REQUIRED:
  • AssociateorBachelorsdegree in Business Administration, Operations Management, Industrial Technology, orequivalent work-related experience
  • Minimum offiveyears of experience in manufacturing, production administration,maintenancecoordination, operations support, or a related administrative role.
  • Experience managing multiple priorities in a fast-paced operational environment.
  • Strongproficiencywith Microsoft Office applications, particularly Excel.
  • Excellent organizational, communication, and problem-solving skills.
  • Experience preparing reports andmaintainingoperational records.
  • Ability to work independently and collaboratively across multiple departments.
  • Experience supporting maintenance planning or manufacturing operations.
  • Experience using computerized maintenance management systems (CMMS).
  • Experience with inventory management,purchasing, and vendor coordination.
  • Knowledge of production reporting, operational metrics, and manufacturing processes.

Vision and auditory demands are continuous.
