Job summary

Enerflex Ltd. is seeking a Production Administrative Assistant – QC & HSE to provide essential administrative support across Manufacturing, QC, and HSE.

You will manage records, coordinate documentation, assist with training, and prepare reports to keep operations compliant and efficient. The role requires strong organizational skills, discretion with confidential information, and the ability to handle multiple priorities in a fast-paced environment.

Qualifications

  • High School Diploma required; Associate Degree or professional certificate preferred.
  • Three+ years of administrative support experience, preferably in manufacturing, quality, safety, or operations.
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, Teams, PowerPoint).
  • Experience with SharePoint, document management systems, databases, and ERP systems preferred.
  • Excellent organizational, time management, and prioritization skills.
  • Strong written and verbal communication skills.
  • Ability to work independently and collaborate across all levels of the organization.
  • Experience maintaining records, compliance documentation, and controlled files with accuracy.

Responsibilities

  • Provide administrative support to Manufacturing, Quality Control, and HSE departments.
  • Maintain and update departmental databases, records, reports, and tracking systems.
  • Prepare, compile, distribute, and maintain standardized reports and documentation.
  • Print, organize, and maintain fabrication travelers, drawings, and related documentation.
  • Ensure current revisions of manufacturing and quality documentation are available to personnel.
  • Upload and maintain digital photographs, inspection records, MTRs, certifications, and project documentation.
  • Maintain filing systems for manufacturing, quality, safety, and compliance records.
  • Coordinate vessel data packages, inspection documentation, and training certifications.
  • Support audits, inspections, and continuous improvement initiatives with accurate documentation.

Summary

The Production Administrative Assistant – QC & HSE provides administrative support to the Manufacturing, Quality Control (QC), and Health, Safety & Environmental (HSE) functions. This role is responsible for maintaining departmental records, coordinating documentation, supporting training and compliance activities, preparing reports, managing schedules and administrative communications, and ensuring the accuracy and availability of critical business information. The position requires exceptional organizational skills, attention to detail, professionalism, and the ability to handle confidential information with discretion while supporting daily operations and departmental objectives.

Principle Responsibilities and Duties
  • Provide administrative support to the Manufacturing, Quality Control (QC), and HSE departments.
  • Maintain and update departmental databases, records, reports, and tracking systems.
  • Prepare, compile, distribute, and maintain standardized reports and operational documentation.
  • Print, organize, and maintain fabrication travelers, drawings, work packets, and related manufacturing documentation.
  • Ensure current revisions of manufacturing and quality documentation are maintained and available to personnel as needed.
  • Upload, organize, and maintain digital photographs, inspection records, Material Test Reports (MTRs), certifications, and project documentation.
  • Maintain physical and electronic filing systems for manufacturing, quality, safety, and compliance records.
  • Assist with the preparation, review, and coordination of vessel data packages, inspection documentation, certifications, and document control requirements.
  • Coordinate HSE training activities, including scheduling courses, preparing employee rosters, maintaining attendance records, and distributing training certifications
  • Maintain employee training records, certification logs, compliance documentation, and related departmental records.
  • Support audits, inspections, compliance reviews, and continuous improvement initiatives by providing accurate documentation and administrative support.
  • Perform other duties as assigned.
Qualifications
  • High School Diploma required; Associate Degree, professional certificate, or equivalent administrative experience preferred.
  • Three or more years of administrative support experience, preferably in a manufacturing, industrial, quality, safety, engineering, or operations environment.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, Teams, and PowerPoint.
  • Experience with SharePoint, document management systems, databases, and ERP systems preferred.
  • Excellent organizational, time management, and prioritization skills.
  • Strong attention to detail and commitment to accuracy.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Ability to work independently and collaborate effectively with all levels of the organization.
  • Experience maintaining records, compliance documentation, certifications, and controlled files with a high degree of accuracy.
  • Demonstrated ability to maintain strict confidentiality and exercise sound judgment when handling sensitive personnel and business information.
  • Professional demeanor with strong interpersonal skills and the ability to build effective working relationships across the organization.
  • Experience supporting leadership personnel through calendar management, correspondence, meeting coordination, expense reporting, and other administrative functions.

Physical Requirements

Fast-paced general office environment. Many tasks have high degrees of time sensitivity. Domestic and international travel is possible on occasion.
