The Product Development Assistant & Sample Coordinator is a critical role for the company's success and growth. This person keeps every development item moving from first sample to shelf, manages testing and compliance documentation, and maintains the accuracy of the product roadmap and costing data.

The role works daily with the Hong Kong and China offices as well as factory partners and follows each open item through to completion.

Our business is fast-paced and changes quickly. Priorities shift with retailer timelines, factory schedules and new opportunities. The people who succeed here take initiative, act without waiting to be asked, and take full ownership of their part of the business. We are looking for someone who wants that responsibility.

Responsibilities
Testing and compliance
  • Track test reports and certifications by SKU (safety, FDA, BPA, Prop 65, ISTA-6A packaging) and file them in the correct folders.
  • Review and approve rating labels and on-pack compliance copy, including California AB1200 chemical disclosures and Mexico NOM labeling.
  • Obtain approval on testing quotes and follow up on late reports. Submit Amazon packaging and and on cord test reports on time to prevent chargebacks and suppressed listings.
  • Maintain the master material and chemical list for new items and reorders.
  • File factory audit reports and elevate any findings that require a decision.
Roadmap, costing and item data
  • Maintain the PD Roadmap with current status, dates, factory and cost for every active item.
  • Resolve cost and SKU discrepancies between the PD Roadmap and costing sheets.
  • Request factory quote sheets, verify them against samples, and challenge any unapproved up-costs.
  • Partner with Operations and the item setup team to create and correct SKUs, including parent and child SKUs and spare parts.
Retailer programs and projects
  • Support retailer programs from approval through shipment, including labels, displays, artwork review and testing (recent programs include Costco, Walmart, Target and Kroger).
  • Coordinate dielines and gift box changes across factories, Creative and Operations, and keep project tasks current in monday.com.
  • Manage factory questions on licensed products, including artwork placement and decoration costs.
  • Serve as the product development contact for the outsourced customer service team, covering escalated cases, replacement requests and product hierarchy updates for CS reporting.
  • Report defect trends from customer service cases to the PD team so they are corrected at the factory.
Samples
  • Request, track and log all samples, including working prototypes, T1 and off-tool samples, retailer meeting samples and customer service reference units.
  • Set ship-by dates based on sales meetings and retailer reviews, and follow up with factories so samples arrive in the New York office on time.
  • Test samples on arrival, document issues with photos, and send feedback to the factory promptly.
Day-to-day operations
  • Participate in weekly calls with the Hong Kong office and factories, and distribute next steps and owners the same day.
  • Keep shared trackers current so the status of any item is visible to the full team.
  • Place and reconcile small vendor orders (such as color standards) and process returns and refunds.
Qualifications
  • 0 to 2 years of experience in product development, sourcing, merchandising or a related field. Consumer products or retail experience preferred.
  • Takes initiative and ownership; identifies problems and drives them to resolution without waiting for direction.
  • Strong follow-through, with a track record of closing out open items.
  • Excellent organizational skills and attention to detail, with the ability to manage many open items at once.
  • Strong Excel skills, including lookups and filters, and a habit of checking that numbers tie out.
  • Clear, concise written communication; daily correspondence with overseas partners.
  • Comfortable in a fast-paced environment with shifting priorities.
  • Availability for occasional evening calls with Hong Kong.
  • Preferred: experience with product testing or compliance (UL/ETL, FDA, Prop 65), Amazon Vendor Central or monday.com; Mandarin or Cantonese.
Measures of success
  • 90%+ accuracy on product details related to setup, ordering and delivery.
  • Samples delivered to the New York office by the dates sales requires.
  • No chargebacks or suppressed listings caused by late test reports.
  • Growing ownership of individual items and product categories over time.
