The Role
As our Product & Operations Associate, you’ll be the connective tissue between the products we make and the customers who receive them. This role sits at the center of how Sonsie runs day to day: keeping product development on track, keeping inventory flowing, and making sure every order, shipment, and retail delivery reflects the same care we put into the formulas themselves. This role reports directly to the CEO.
You’ll work across product development, supply chain, fulfillment, and operations, retail partnering with our manufacturers, packaging suppliers, 3PL, and retail partners to keep the business moving. You’ll own the details, the timelines, the trackers, and the follow-ups, so that launches land on time and the day-to-day runs smoothly.
This is a hands-on, detail-heavy, high-trust role, ideal for someone who loves building systems, solving problems, and seeing how a modern beauty brand actually works from the inside.
How You’ll Spend Your Time
Inventory & Supply Chain
- Monitor inventory levels across our 3PL and retail partners, flagging low stock, overstock, and reorder points
- Build and maintain demand forecasts and purchase orders in partnership with the CEO and finance
- Coordinate inbound shipments, receiving, and inventory reconciliation with our 3PL
- Track components and raw materials across all SKUs to maintain stock
Fulfillment & Retail Operations
- Oversee daily DTC order flow in Shopify, resolving shipping delays, lost packages, address issues, and exceptions with our 3PL
- Process and track wholesale and retail orders, including routing guides, EDI, labeling, and compliance requirements
- Manage returns, damages, and chargebacks, identifying root causes and fixing them at the source
- Coordinate product needs for events, gifting, PR mailers, and influencer sends
Production Management
- Manage production timelines with our contract manufacturers and packaging suppliers, from PO placement through delivery to our 3PL, so every run lands on schedule
- Coordinate component procurement (bottles, pumps, cartons, labels) and align lead times so no production run is held up by a missing part
- Review production quotes, batch records, and COAs, flagging cost, quality, or timing issues ahead of potential timeline impact
Product Development Support
- Organize and track product samples, lab submissions and product testing
- Own acquiring community feedback and integrating this feedback into the product development process through beta testing groups, surveys and community events
- Maintain product documentation including specs, ingredient lists, claims, and regulatory and compliance files, keeping them current through every formula and packaging revision
Systems, Reporting & Cross-Functional Support
- Own the operational calendar and keep launch timelines, PO trackers, and inventory reports current and accurate
- Prepare weekly inventory, sell-through, and fulfillment reports for leadership
- Build and improve the processes, templates, and tools that help a small team operate like a big one
- Partner with marketing, creative, and customer experience to make sure operations support what the brand is promising
- Meet in person weekly with the team for planning, reviews, and alignment
Who You Are
Experience
- 1+ years of experience in operations, supply chain, product development, or a related role, ideally at a consumer or beauty brand
- Experience working with a 3PL, contract manufacturer, or retail partner is a strong plus
- Beauty or skincare experience preferred but not required
- Consumer brand experience required
Skills
- Strong proficiency in Google Workspace, especially Sheets, and comfort building trackers, forecasts, and reports
- Working knowledge of Shopify and inventory or order management tools
- Familiarity with product development processes (formulation, packaging, testing, compliance) or a genuine eagerness to learn them
- Clear, proactive communicator who can manage vendors and keep many moving pieces on schedule
- Exceptional organization and follow-through, with an eye for the detail that everyone else missed
Operational POV
- You see a messy process and instinctively want to build the system that fixes it
- You understand that the customer experience starts long before the box arrives
- You’re rigorous but not rigid: structured where it matters, flexible where it counts

Location
- Based in or in close proximity to New York City
- Available for weekly in-person collaboration and occasional visits to our 3PL, suppliers, and events
Bonus
- Experience with retail partner portals, EDI, or wholesale compliance
- Exposure to cosmetics regulatory requirements (MoCRA, labeling, international registration)
- Familiarity with inventory planning or ERP tools
