Job Summary
  • The Procurement Technician will support the increasing administrative and operational demands of the Procurement Unit. This position supports agency purchasing activities through requisition processing, solicitation and contract support, contract tracking, research, reporting, and procurement card administration, while serving as a point of coordination for internal and external stakeholders. The position also helps ensure efficient, compliant, and uninterrupted procurement operations, and allows other procurement staff to focus on higher-level responsibilities.
  • Rare in-state travel is required for this position.

The Arizona Department of Education currently utilizes a hybrid work environment, with up to two days of remote work (contingent upon business needs). Candidates should apply with an ability and willingness to work in-office up to five days per week as business needs necessitate.

Job Duties
  • Procurement and Contract Support:
    • Supports procurement activities by assisting with the preparation and processing of contract amendments, and related procurement documentation under the direction of procurement staff
    • Participates in procurement processes by gathering and organizing required information and documentation
    • Prepares and distributes routine communications to internal stakeholders regarding procurement and contract statues, issues, and requirements
  • Administrative and Operational Support:
    • Performs advanced administrative duties in support of Procurement staff, the Chief Financial Officer, and agency programs including research, special projects, and report preparation, and document coordination
    • Maintains procurement-related administrative and policy/procedure files to ensure accuracy, completeness, and audit readiness
  • Procurement System and Internal Support:
    • Provides administrative and technical support to internal stakeholders regarding use of the state's e-procurement system and procurement processes
    • Serves as backup support to procurement staff for system-related tasks as needed
    • Assists internal stakeholders by providing general information related to contracts, goods, services, and procurement procedures, and by explaining procurement requirements
  • Interdepartmental Coordination:
    • Serves as an administrative liaison for Accounting, Audit, Grants Management, and the State Records Retention Office by coordinating documentation, responding to requests, and supporting departmental administrative activities
  • Contract and Procurement Administration:
    • Maintains and updates contracts and procurement records within the e-procurement system
    • Utilizes spreadsheets and the Arizona Procurement Portal to support purchasing activities, supplier research, and requisition processing
    • Assists with routine purchasing activities such as approving requisitions
Knowledge, Skills & Abilities (KSAs)
  • Knowledge in:
    • Procurement processes, and terminology, including requisition processing, contract file management, and procurement documentation
    • Arizona procurement rules, policies, and procedures applicable to purchasing and contract administration or the ability to learn and apply them on the job
    • Administrative practices related to records management, document coordination, and report preparation
    • Familiarity with electronic procurement systems and databases, or the ability to learn state and agency procurement systems
  • Skills in:
    • Performing advanced administrative tasks requiring attention to detail, organization, and accuracy
    • Researching information, maintaining records, tracking contracts and requisitions, and preparing reports
    • Composing clear and professional written correspondence related to administrative and procurement matters
    • Verbal communication and customer service when interacting with internal and external stakeholders
    • Skill in using computer systems, spreadsheets, and procurement or purchasing software to support operational activities
    • Intermediate skill in using Microsoft Outlook, Word, and Excel, and PowerPoint
  • Ability to:
    • Coordinate, manage, and prioritize multiple administrative and procurement support tasks within a fast-paced, changing working environment
    • Follow established procurement procedures and ensure compliance with applicable rules and guidelines
    • Work independently on routine assignments while seeking guidance on complex procurement issues
    • Communicate effectively with staff, vendors, and other agency personnel
    • Maintain confidentiality and accuracy when handling records, contract documents, and financial information
    • Learn new procurement systems, processes, and policies and apply them to daily work tasks

Retirement

You will be required to participate in the Arizona State Retirement System (ASRS) upon your 27th week of employment, subject to waiting period. On or shortly after, your first day of employment you will be provided with enrollment instructions and effective date.
