Procurement & Subcontract Operations Assistant

The Role We Want You For

Assist in subcontract operations, procurement, and purchase order processes for Clayco and its subsidiaries. The role requires experience and knowledge of construction equipment and material procurement, purchase order processes, and general procurement contract matters, including negotiation of purchase order terms, resolution of procurement claims and disputes, and related responsibilities.

The ideal candidate is a team player with procurement experience, proactive, possesses a strong work ethic, eager to learn, with exceptional problem-solving skills, and comfortable working in a fast-paced environment.

The Specifics of the Role

• Review, negotiate, and advise on purchase orders and related contracts, including:
• Material supplier contracts, warranties, terms, and conditions
• Vendor and service contracts, warranties, terms, and conditions
• Flow-down of obligations under prime contracts and subcontracts
• Experience with construction prime contracts and flow-down obligations to suppliers, vendors, and subcontractors

• Review and negotiate ancillary contracts such as:
• Credit applications
• Confidentiality and non-disclosure agreements

• Assist with purchase order claims, coordinate with project teams, draft notices, and conduct claims investigations. Support dispute resolution processes, mediations, or litigation, including document collection and response to subpoenas and discovery requests.

• Help ensure contract compliance as needed.

Requirements

• Familiarity with the construction and/or design industry
• Understanding of purchase orders, procurement contracts, and subcontracts, including material and equipment supplier contracts
• Knowledge of process design is a plus
• Experience with AIA software and contract forms is a plus
• Legal knowledge of the construction industry or paralegal background is a plus
• Motivated, proactive, hardworking team player with strong collaboration skills
