We coordinate reliable service providers, source construction materials, and manage maintenance solutions that help clients keep their facilities safe, functional, and operational.

Position Overview

Facility Mate is seeking a highly organized and resourceful Procurement Specialist to onboard, and manage internal requests for vendors and suppliers across the United States. This role will focus on building a dependable nationwide network of contractors, service providers, distributors, and construction-material suppliers to support maintenance and repair projects for retail and restaurant locations.

Key Responsibilities

• Identify and recruit qualified vendors, contractors, subcontractors, distributors, and suppliers throughout the United States.
• Develop and maintain a nationwide vendor network to support retail, restaurant, and commercial facility-maintenance needs.
• Research and source construction materials, maintenance supplies, equipment, fixtures, and replacement parts.
• Evaluate vendors based on qualifications, geographic coverage, pricing, availability, quality, insurance, licensing, safety records, and customer service.
• Manage the vendor onboarding process, including collecting W-9 forms, certificates of insurance, licenses, service capabilities, pricing information, and other required documentation.
• Conduct vendor due diligence and ensure suppliers meet Facility Mate’s operational and compliance standards.
• Request and compare quotes for construction materials.
• Coordinate with operations and project coordinators that materials are available when needed.
• Identify alternative suppliers and backup vendors to reduce delays, supply shortages, and project disruptions.
• Support the procurement of materials for projects involving electrical, plumbing, HVAC, flooring, roofing, drywall, painting, carpentry, doors, fixtures, signage, general construction, and other facility-maintenance needs.
• Track orders, shipments, material availability, backorders, and delivery schedules.
• Resolve purchasing issues, incorrect orders, damaged materials, delayed deliveries, and invoice discrepancies.
• Ensure procurement activities are documented and completed in accordance with company policies and client requirements.
