Responsibilities

Job description

The Procurement Manager is responsible for developing and executing procurement strategies, managing supplier relationships, negotiating contracts, and ensuring the availability of materials and services to support production and business objectives.

WHAT WE DO

VIVA Railings leads the industry in innovation, designing decorative metal and glass railing systems that redefine commercial spaces with safety, elegance, and distinctive design. Our commitment is not only to meet industry standards but to exceed them, pushing the boundaries of what's possible in architectural design. If you are driven by innovation and want to contribute to a company that values creativity and forward-thinking, VIVA Railings is your next career step.

Key Responsibilities
  • Own procurement strategy and policy: define how vendors are qualified, approved, evaluated, and exited, and ensure the team follows it consistently.
  • Develop, own and govern the Approved Vendor List (AVL): approve additions and removals, and periodically review it against performance and risk data.
  • Develop, and own vendor performance matrices (cost, quality, delivery, responsiveness) and use them to drive vendor negotiations, reviews, and sourcing decisions.
  • Own vendor and supply risk management: identify single-source exposure and capacity constraints and build contingency or dual-sourcing plans.
  • Lead negotiations and contract terms with key offshore and local vendors; set pricing, payment, and delivery terms that protect margin and schedule.
  • Oversee the offshore and local purchase order lifecycle, resolving escalations the Procurement Lead cannot close, and owning the top of the risk/escalation ladder.
  • Set and own procurement KPIs (cost, OTD, expedite spend, rework/quality cost) and report performance to the stakeholders.
  • Build category and spend analysis practices to identify cost reduction and consolidation opportunities.
  • Manage, coach, and develop the procurement team, including the Procurement Lead and buyers/coordinators; build the bench for future growth.
  • Ensure purchasing documentation, quality documentation, and warranty claims processes are audit-ready and consistently followed.
  • Partner with Production Control, Warehouse, and Shop leadership on delivery timing, shortages, and expedites.
  • Own and continuously improve procurement's documentation in the knowledge base, ensuring processes are not dependent on any one person.
Qualifications
  • 5+ years of procurement/purchasing experience, including 2+ years in a supervisory or team-lead capacity.
  • Demonstrated ownership of vendor management at a strategic level: vendor qualification frameworks, performance matrices, negotiation, and risk management — not just execution within an existing setup.
  • Experience managing both domestic and international (offshore) vendor relationships.
  • Working knowledge of ERP/PO systems.
  • Proven ability to build or overhaul a process from first principles and get a team to adopt it.
  • Strong negotiation skills and comfort owning commercial terms with vendors.
  • People management experience: coaching, performance feedback, and development planning.
  • Sound judgment under pressure and the ability to make and defend decisions without every scenario being pre-defined.
  • Clear written and verbal communication for vendor negotiation, cross-functional coordination, and leadership reporting.
  • Fabrication, construction, or building-products industry experience a plus, but not a substitute for procurement fundamentals.
